This is a fully remote position, open to applicants in Pakistan.
• Oversee G-Drive: arrange folders, accurately name documents, and uphold version control.
• Revise and sustain the Asana Operations Task Board — ensuring all tasks are up-to-date, correctly categorized, and appropriately assigned.
• Manage system access: establish and revoke access to tools (Fathom, ClickFunnels, QuickBooks, etc.) as instructed.
• Perform QuickBooks Online administrative duties: send documents to Unloop, organize financial records, and handle basic data entry.
• Administer insurance tasks: monitor renewals, manage paperwork, and highlight approaching deadlines.
• Calculate and monitor the CEO's time burn rate by category based on calendar and briefing information.
• Create and maintain Google Sheets trackers for financial oversight, expense documentation, and reporting.
• Facilitate coordination: arrange schedules, take notes, and follow up on tasks with external stakeholders.
• Assist with bank account reconciliation monitoring and identify discrepancies.
• Filter and assess resumes in Workable: advance candidates through stages, implement the Priority Funnel, and identify qualified applicants.
• Conduct phone screenings when the EA is unavailable — adhering to scripted guidelines and providing written evaluations.
• Maintain and update the weekly TA reporting tracker: Time to Hire, Cost per Hire, and Pipeline Health scores.
• Aid in running MVP calls: prepare notes, send follow-ups, and log outcomes in Asana.
• Collaborate with hiring managers: distribute interview links, schedule WHO interviews, and follow up on feedback.
• Assist with onboarding and offboarding logistics: provide system access checklists and monitor form completion.
• Track rental income and report any delinquencies within 48 hours.
• Coordinate with third-party vendors (landscapers, contractors, plumbers): obtain quotes, schedule visits, and verify completion.
• Record all maintenance expenses in Stessa with receipts within 48 hours of purchase.
• Monitor utility bills across all four properties and alert about upcoming due dates seven days in advance.
• Assist with property documentation: refinancing paperwork, insurance coordination, and lease renewals.
• 1–2 years of experience in administrative, operations, or coordination support roles.
• Highly organized — you ensure nothing slips through the cracks.
• Detail-oriented — you verify your work before submission.
• Strong written communicator — you convey information clearly and professionally in English.
• Proficient with Google Sheets — you can create simple trackers, utilize formulas, and present data effectively.
• Proactive — you identify issues before they escalate and propose solutions.
• Discreet — you will manage sensitive financial, HR, and personal information; confidentiality is paramount.
• Self-sufficient — you can prioritize tasks and execute them independently without constant supervision.
• Quick learner — you document processes and can replicate them autonomously after a single demonstration.
