This is a fully remote position, open to applicants in Philippines.
• Professionally respond to incoming calls, ensuring a positive initial point of contact.
• Conduct outbound calls for scheduling, confirmations, follow-ups, and coordination purposes.
• Accurately take messages and ensure timely dissemination of essential information.
• Address inquiries with clarity, patience, and a solutions-oriented approach.
• Maintain professional and amicable communication throughout all interactions.
• Prepare and issue client quotes and invoices accurately and promptly.
• Monitor outstanding accounts and tactfully follow up on overdue invoices via phone and email to ensure consistent cash flow.
• Process internal team requests and external client orders from initiation to completion, ensuring accuracy and clear communication throughout the order's lifecycle.
• Keep customer records, financial entries, and order histories up-to-date and precise in our systems.
• Perform general administrative tasks including data entry and document management.
• Maintain accurate records, databases, and internal systems.
• Organize files and ensure information is properly stored and readily accessible.
• Support operational workflows and assist with daily coordination tasks.
• Help enhance administrative processes wherever improvements can be made.
• Provide dependable support to internal teams to ensure seamless daily operations.
• Assist with basic coordination tasks across various departments.
• Ensure tasks are executed accurately and completed within deadlines.
• Serve as a reliable point of support for general business needs.
• Demonstrated experience in administrative support, accounts receivable, sales support, customer service, or related roles.
• Exceptional attention to detail coupled with strong organizational abilities.
• Confident and professional demeanor on the phone.
• Excellent written and verbal communication skills.
• Capability to manage multiple tasks and priorities efficiently.
• High level of reliability, accountability, and consistency.
• Comfortable working independently with minimal supervision.
• Experience with Xero Accounting Software is advantageous.
