This is a fully remote position, open to applicants in Philippines.
• Take charge of invoicing, collections, and accounts receivable for an industrial cleaning firm.
• Oversee the invoicing process, follow up on overdue payments, establish new vendor accounts, and work directly within QuickBooks Online and Monday CRM.
• Serve as the primary point of contact for customers inquiring about billing issues.
• Accurately generate and dispatch invoices to commercial and industrial clients in a timely manner.
• Keep well-organized billing records and ensure invoices accurately reflect pricing, terms, and job specifics.
• Assist in migrating historical billing data from Workflow to QuickBooks Online.
• Follow up on unpaid invoices and overdue accounts via phone and email.
• Manage the entire collections process from initial contact to resolution.
• Monitor aging reports and prioritize collection efforts based on account status.
• Communicate professionally and clearly with clients to address billing disputes and collect outstanding balances.
• Set up new vendors in QuickBooks Online and ensure accurate vendor record maintenance.
• Collaborate with the owner on vendor terms, documentation, and onboarding requirements.
• Provide support for basic bookkeeping duties as your skills allow.
• Keep accurate records in Monday CRM alongside QuickBooks Online.
• Ensure both systems are up to date and flag any discrepancies between them.
• Contribute to process improvements as the business grows toward increased volume.
• Demonstrated experience in managing invoicing, billing, and collections specifically within a commercial service sector.
• Relevant industry experience in commercial cleaning, field services, trades, or a comparable service environment.
• High level of proficiency in QuickBooks Online, including invoicing, accounts receivable management, and vendor setup.
• Excellent English communication skills, both verbal and written, as customer phone interactions are part of this role.
• Strong attention to detail and a proven ability to follow through on outstanding balances independently.
• Comfortable working autonomously in a small business setting where you take ownership of your responsibilities.
• Familiarity with CRM tools; experience with Monday CRM is advantageous.
• Self-motivated and organized, capable of managing multiple open accounts at once.
