This is a fully remote position, open to applicants in United States.
β’ Oversee overdue accounts via the QBO Collections Center, which includes weekly outreach to customers, distribution of statements, and responding to customer inquiries.
β’ Record all incoming payments in QBO, including paper checks, Authorize.net e-checks, and credit card transactions, and ensure corresponding deposits are made.
β’ Generate recurring billing reports, distribute them to managers as scheduled, and manage billing for new customers, along with any changes or cancellations in QBO as necessary.
β’ Establish and maintain Automated Recurring Billing (ARBs) and recurring transactions, ensuring price updates are implemented.
β’ Input vendor and contractor invoices into the QBO Vendor Center, gather and file W-9 forms, and record referral partner commissions for CFO processing.
β’ Organize employee credit card receipts and enter charges into QBO.
β’ Prepare various reports as required on a monthly, quarterly, or other basis, including but not limited to the Tourism billing report, Sales Tax Quarterly Gross Up Report, and ad spend reconciliation.
β’ Enter commission data at the end of the month and conduct audits on commission sheets.
β’ Input scorecard data and carry out audits for the NYS Contract System as needed.
β’ Review domain names and Google accounts billed through Mannix, ensuring they are properly memorized and invoiced.
β’ Engage in periodic check-ins with the finance team as required.
β’ Record billing activities and client updates in the company CRM (Admin).
β’ A minimum of 3 years of practical experience with QuickBooks Online, including custom report generation, recurring and memorized transactions, the Collections Center, Automated Recurring Billing (ARBs), and Vendor Center Management.
β’ Proficiency in Google Drive and Google Sheets, with capabilities in formula creation and data organization.
β’ Direct experience in accounts receivable, particularly in customer-facing collections roles.
β’ Ability to independently manage a recurring, deadline-driven workload.
β’ Strong attention to detail; proactively follows up on discrepancies without needing prompts.
β’ Must be U.S.-based and legally authorized to work in the United States.
