This is a fully remote position, open to applicants in Sri Lanka.
• Oversee the daily accounting operations of the firm, encompassing both accounts payable and receivable.
• Reconcile office accounts, company credit cards, and related financial records.
• Handle payroll, superannuation, petty cash, and various financial administrative tasks.
• Communicate with accountants, auditors, and other relevant third parties.
• Administer tax, ASIC, and other regulatory payments.
• Track budgets, office expenses, financial records, and aged debtors.
• Generate financial and operational reports, including those produced via legal practice systems.
• Oversee payments to barristers, suppliers, contractors, and external vendors.
• Prepare and process trust payments and trust receipts.
• Manage requests related to trust funds and controlled money accounts.
• Ensure compliance with Australian Legal Profession Regulations in trust accounting.
• Complete monthly trust account reconciliations and reporting.
• Prepare for annual trust audits and maintain compliant trust accounting records.
• Administer matter accounting throughout the billing cycle.
• Coordinate end-of-month billing processes with legal teams.
• Review time entries, cost recoveries, disbursements, and anticipated payments.
• Prepare, review, and finalize client invoices.
• Maintain billing records and systems for managing debtors.
• Follow up on outstanding debtors and third-party invoices as necessary.
• Assist in the management of insurances, practicing certificates, memberships, and licensing renewals.
• Keep track of staff leave records and administrative documentation.
• Coordinate office facilities, lease agreements, maintenance, and vendor contracts.
• Support document management systems and legal practice software.
• Assist with matter openings, archiving, and file retention processes.
• Contribute to policy development and continuous improvement initiatives.
• Ensure compliance with legal, privacy, workplace, OH&S, and professional standards.
• Aid in meeting regulatory obligations involving relevant legal governing bodies.
• Maintain records of professional development and certifications as required.
• Assist in audit preparations, regulatory inspections, and governance activities.
• Provide support with legal documentation, trust requests, and administrative correspondence.
• Proven experience in bookkeeping, accounting, accounts administration, office management, or a similar finance-related role.
• Strong understanding of accounts payable, accounts receivable, reconciliations, payroll, superannuation, and end-of-month billing processes.
• Capability to manage accounting functions independently and accurately.
• Experience in handling confidential financial and client information with professionalism and discretion.
• Background in a law firm, legal practice, or professional services environment is highly valued.
• Knowledge of trust accounting and the requirements for Australian legal trust accounts.
• Familiarity with preparing for trust audits and collaborating with external auditors is beneficial.
• Understanding of legal billing, disbursements, cost recoveries, and matter-based accounting.
• Knowledge of regulatory compliance, professional memberships, practicing certificates, and legal practice administration.
• Advanced skills in Microsoft Office, including Outlook, Word, Excel, and Teams.
• Experience with LEAP or similar legal practice management and accounting software.
• Familiarity with Monday.com or similar platforms for workflow and debtor management.
• Proficiency with accounting, payroll, and reporting systems in professional services environments.
