• Collaborate with the Division Manager to oversee daily operations of the bookkeeping team.
• Act as a primary resource for team members facing intricate accounting issues, client-specific obstacles, or workflow inquiries.
• Provide direct support and mentorship to bookkeepers in need — stepping in to assist with problem-solving rather than merely redirecting.
• Conduct regular check-ins with team members to assess workload, quality, and morale.
• Identify skill gaps within the team and foster development through coaching, training, and knowledge sharing.
• Assist in onboarding new team members, ensuring they are equipped for success from their first day.
• Manage a portfolio of assigned client accounts across various industries, delivering precise and timely bookkeeping services.
• Execute core bookkeeping tasks including transaction categorization, bank reconciliations, accounts payable and receivable, and month-end closing.
• Prepare and present monthly financial reports and statements to assigned clients.
• Maintain organized, clean, and audit-ready client files and records.
• Communicate directly with clients to resolve inquiries, gather documentation, and provide financial updates.
• Review the work of team members for accuracy, completeness, and adherence to client expectations and accounting standards.
• Identify and rectify errors before they reach the client — your review serves as the final quality control checkpoint.
• Establish and uphold consistent standards for documenting, formatting, and delivering work across the team.
• Report recurring quality issues to the Division Manager and assist in developing solutions.
• Aid the Division Manager in managing client assignments, team capacity, and workflow within the bookkeeping division.
• Ensure all client deadlines are met and that no accounts lag behind due to bandwidth or complexity.
• Contribute to internal processes, templates, and documentation that enhance team efficiency.
• Identify tools and workflow enhancements and present recommendations to leadership.
• 3+ years of practical bookkeeping or accounting experience, demonstrating a strong command of essential bookkeeping functions.
• Previous experience managing, mentoring, or leading a small accounting or bookkeeping team.
• Proven track record of managing multiple client accounts simultaneously with precision and consistency.
• Proficient in QuickBooks Online, Xero, or other widely used accounting platforms — experience with multiple software is a significant advantage.
• Strong understanding of GAAP and standard bookkeeping practices.
• Excellent communication abilities — capable of clearly explaining accounting concepts to both team members and non-financial clients.
• High attention to detail and a sincere commitment to delivering accurate, high-quality work.
• Self-motivated and dependable — able to manage your own time and your team's without requiring micromanagement.
