This is a fully remote position, open to applicants in United States.
• Respond to incoming patient calls via Vonage.
• Deliver courteous and professional customer service.
• Schedule, reschedule, and confirm patient appointments.
• Address routine patient inquiries received through the medical record system.
• Assist patients with fundamental questions and escalate clinical inquiries to the relevant provider.
• Manage frustrated or confused patients with professionalism and composure.
• Issue payment links to patients as needed.
• Support patients in completing payments.
• Collect payment information over the phone when necessary and securely input it into the clinic’s payment system.
• Adhere to established protocols for handling sensitive payment information.
• Aid in the administration of routine medical certifications.
• Access patient records within the OneStop system using client-provided data.
• Activate certifications following established protocols.
• Download and distribute completed certification documentation to patients.
• Keep accurate records of administrative actions taken.
• Assist with basic credentialing tasks, including sending applications and payments.
• Follow up on pending emails and administrative requests.
• Maintain basic licensing and renewal tracking systems.
• Update files and spreadsheets in Google Drive.
• Ensure the accuracy of patient and administrative records.
• Support additional routine administrative tasks as assigned.
• Provide high-quality, task-specific remote services to enhance business efficiency, service delivery, or operational support.
• Prior customer service experience is essential.
• Phone-based customer service or receptionist experience is highly preferred.
• Experience as an executive assistant or in administrative support is advantageous.
• Background in healthcare or medical office settings is a plus, but not mandatory.
• Strong written and verbal communication skills in English are required.
• Native or near-native proficiency in English is necessary.
• Experience in scheduling appointments and managing customer records is preferred.
• Comfortable managing confidential patient information.
• Basic proficiency in Google Sheets and Microsoft Office is required.
• HIPAA certification is not mandatory at the time of hire; it can be obtained during onboarding.
• Exceptional customer service and phone communication skills are essential.
• Friendly, patient, and professional demeanor when engaging with patients.
• Ability to manage difficult conversations and de-escalate concerns effectively.
• Highly organized with excellent follow-through.
• Detail-oriented and reliable.
• Willingness to learn healthcare systems and administrative processes.
• Capable of working independently after receiving training.
• Familiarity with CharmHealth EHR, Vonage, OneStop, Microsoft Office/Outlook, Google Workspace, Google Calendar, Google Drive, and Google Sheets; training provided for CharmHealth EHR, Vonage, and OneStop.
• Availability for 20 contracted hours per week, Monday through Friday, typically from 10:00 AM to 2:00 PM EST.
• Must operate as an independent contractor under a Master Services Agreement and Statement of Work.
