Virtual Medical Assistant, Lead Engagement Specialist

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Monitor a shared lead spreadsheet and promptly reach out to new prospective patients, ideally within five minutes of their inquiry.

• Consistently follow up with older or pending leads to create a welcoming first impression.

• Review sleep-related questionnaires from prospective patients and conduct intake screening using scripts or forms.

• Ask follow-up questions, gather comprehensive information, and accurately document patient concerns.

• Enter telephone notes and update lead statuses and pipeline stages in the shared spreadsheet.

• Review pending leads and decide on the next follow-up action.

• Send new patient forms and digital paperwork links, explain the next steps, and document all communications.

• Verify insurance coverage, eligibility, benefits, and potential financial responsibilities.

• Maintain clinic percentage tables and operational reports.

• Provide end-of-day reports detailing contacted leads, follow-ups, paperwork, insurance verifications, pending items, and priorities for the next day.

• Exceptionally clear and easily understandable spoken English.

• Strong verbal communication and active listening abilities.

• Warm, enthusiastic, and professional presence on the telephone.

• Ability to quickly build rapport with prospective patients.

• Strong customer service or sales-oriented communication skills.

• Comfortable making proactive outbound calls.

• Excellent attention to detail and documentation capabilities.

• Comfortable using Google Sheets and shared spreadsheets.

• Ability to monitor incoming leads and respond urgently.

• Comfortable working independently in a remote setting.

• Willingness to use the GoLean Productivity Tool during paid working hours.

• Reliable computer, internet connection, headset, and backup work arrangements.

• Candidates must be available for the entire 30-hour weekly schedule, including Saturdays.

• Preferred experience includes lead generation or follow-up, appointment setting, patient intake, healthcare or dental administration, insurance eligibility verification, customer service, sales, premium hospitality, high-end retail, restaurant hosting or greeting, or other high-touch public-facing roles.

• Previous dental experience is beneficial but not a primary requirement.
