This is a fully remote position, open to applicants in United States.

📋 Description

• Oversee calendars, appointments, and scheduling across various service lines.

• Arrange meetings, consultations, and follow-up communications.

• Organize digital files, documentation, and internal workflows efficiently.

• Prepare reports, spreadsheets, presentations, and materials for clients.

• Manage inboxes, email correspondence, and administrative requests.

• Act as the initial point of contact for client inquiries.

• Coordinate onboarding processes and manage client documentation.

• Follow up with both prospective and current clients regarding appointments and services.

• Maintain professional communication through email, phone, and messaging platforms.

• Assist in workflow management and project coordination tasks.

• Uphold CRM systems and maintain client databases.

• Support data entry, document preparation, and record keeping activities.

• Contribute to the creation and enhancement of administrative processes and systems.

• Aid in client scheduling and the organization of documents.

• Assist with client correspondence and documentation needs.


⛳️ Requirements

• 2–5+ years of experience as a Virtual Assistant, Administrative Assistant, Customer Support, Executive Assistant, or in a similar role.

• Preferred experience in supporting consulting, professional services, education, financial services, coaching, or multi-service businesses.

• Proven experience performing essential administrative tasks, including calendar management, email handling, data entry, document preparation, and client support.

• Excellent written and verbal communication skills in English.

• Strong interpersonal skills and the ability to build relationships effectively.

• Professional and confident phone presence with effective communication skills for interacting with clients, stakeholders, and team members.

• Comfortable managing inbound and outbound calls and engaging in phone conversations.

• Strong organizational and time management abilities, with the capability to prioritize tasks efficiently.

• Highly detail-oriented with outstanding accuracy and follow-through.

• Proactive, resourceful, and self-driven.
