Virtual Assistant – AI Automation & Systems Specialist

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Workflow Automation Development: Create comprehensive automation workflows utilizing tools such as n8n, Make.com, Zapier, or tailored solutions; Design automation frameworks that link various business platforms; Develop workflows for construction estimating, proposal creation, and document processing; Construct CRM automation and sales pipeline workflows; Generate reporting dashboards and automated data streams; Implement document tracking and version control systems.

• AI Agent Development: Design and deploy AI agents to automate business processes; Build systems for document analysis and summarization; Facilitate BOQ comparison workflows and automate document review; Create AI-assisted workflows for proposal and RFP generation; Enhance AI outputs through prompt engineering and iterative testing.

• Technical Implementation & Integration: Establish automation environments (n8n, Replit, etc.); Integrate APIs across various tools such as Notion, Google Sheets, CRMs, ERP systems, and project management platforms; Build and sustain data pipelines between systems; Configure webhooks, triggers, and automation logic; Assist with deployment and system setup processes; Resolve technical issues and optimize workflows.

• System Optimization & Troubleshooting: Identify inefficiencies in current automation systems; Debug workflow and API issues; Enhance system reliability, speed, and scalability; Adjust automation logic based on performance feedback; Research & Continuous Improvement: Explore automation tools and AI platforms; Assess new technologies for workflow enhancement; Suggest system upgrades and improvements; Stay informed on automation and AI trends pertinent to construction workflows.

• Technical Documentation: Record automation workflows and system architecture; Create setup manuals and technical guidelines; Maintain documentation of APIs, integrations, and system dependencies; Ensure systems are thoroughly documented and easy to maintain.

⛳️ Requirements

• Robust experience with automation tools (n8n, Make.com, Zapier, or similar)

• Proficiency in API integration and webhook configuration

• Familiarity with AI tools (ChatGPT, Claude, or other similar LLMs)

• Understanding of data structures (JSON, spreadsheets, etc.)

• Capability to troubleshoot and debug multi-system workflows

• Strong analytical and problem-solving abilities

• Capacity to work independently with minimal supervision

• Preferred Experience: Experience in creating AI agents or automation systems from the ground up; Exposure to construction, engineering, or project-based sectors; Knowledge of self-hosted systems or deployment environments; Background in automation engineering, systems design, or backend workflows; Experience in startup or rapidly changing environments.
