This is a fully remote position, open to applicants in Florida.
• Develop, maintain, and revise travel itineraries and client schedules with accurate timing and connection information.
• Coordinate flight schedules, ground transportation, accommodation check-in/out times, and activity slots to prevent conflicts and reduce traveler wait times.
• Oversee booking timelines and supplier confirmations; ensure that all elements of the schedule are in sync and highlight any potential issues.
• Promptly communicate schedule modifications and time-sensitive updates to clients, vendors, and internal teams.
• Handle calendar coordination for trips involving multiple participants or legs, including rooming lists and passenger manifests as necessary.
• Proactively recognize scheduling risks (e.g., tight connections, overlapping appointments) and suggest viable alternatives.
• Provide day-of travel support by supplying current schedules and coordinating with suppliers to address timing issues.
• Keep precise records of schedules, confirmations, and client preferences in internal databases.
• At least 1 year of experience in travel coordination, scheduling, operations, events, or a related administrative/customer service position preferred.
• Outstanding organizational abilities and keen attention to detail when handling time-sensitive information.
• Excellent written and verbal communication skills; comfortable interacting with clients and suppliers.
• Capability to manage multiple calendars and prioritize conflicting scheduling demands.
• Basic computer proficiency is required (especially in Microsoft Office, particularly Excel and Outlook/calendar management, email and internet research).
• Familiarity with online booking platforms, GDS, or scheduling tools is advantageous.
• Willingness to work occasional early or late hours as necessary to accommodate departures, arrivals, or international supplier time zones.
• A problem-solving attitude and the ability to remain composed under pressure.
• Professionalism and discretion when dealing with confidential client information.
