This is a fully remote position, open to applicants in South Africa.
• Serve as the primary point of contact for landlords and tenants, addressing inquiries related to active tenancies.
• Coordinate and manage the processes of tenancy terminations, including notices, early termination requests, and property check-outs.
• Oversee deposit negotiations, returns, and any disputes that may arise.
• Address tenancy-related issues and disputes among neighbors.
• Monitor rent accounts, identify and collect outstanding arrears, inform landlords, process Universal Credit documentation, and escalate unresolved arrears.
• Receive, evaluate, and act on maintenance reports, assess urgency and risk, appoint qualified contractors, obtain estimates and approvals, and ensure job completion.
• Gather contractor invoices and maintain accurate records in the landlord ledger.
• Handle local authority work schedules, improvement notices, and any regulated or formally reportable works.
• Generate weekly property safety and compliance reports, tracking certificates, licenses, and visa/right-to-rent expiration dates.
• Pursue outstanding compliance documents, manage failed electrical reports and necessary remedial actions, and escalate serious compliance concerns.
• Maintain precise audit trails, records, diary actions, and system communications.
• Keep landlords updated, manage their expectations, handle complaints, and support landlord retention efforts.
• Provide a professional, proactive customer and client service experience.
• Achieve performance targets related to satisfaction, retention, arrears, deposits, maintenance, compliance, and record accuracy.
• Prior experience in tenancy management, property management, or residential lettings.
• Comprehensive understanding of tenancy agreements and the obligations of landlords and tenants.
• Experience in managing maintenance, arrears, deposits, compliance, and tenancy terminations.
• Exceptional written and verbal communication skills.
• Strong attention to detail.
• Capability to handle a high-volume workload while prioritizing competing tasks.
• Customer-oriented and solutions-focused approach.
• Confidence in managing challenging conversations and disputes.
• Excellent organizational and record-keeping abilities.
• Ability to work independently and take ownership of cases.
• Experience with property management or CRM systems.
• Practical knowledge of residential tenancy agreements.
• Understanding of deposit protection and dispute resolution processes.
• Familiarity with rent arrears procedures.
• Knowledge of Universal Credit and the benefits system.
• Awareness of Houses in Multiple Occupation compliance.
• Understanding of property licensing requirements.
• Familiarity with landlord repairing obligations.
• Knowledge of Section 11 of the Landlord and Tenant Act 1985.
• Understanding of the Homes (Fitness for Human Habitation) Act.
• Familiarity with the Housing Health and Safety Rating System.
• Knowledge of LACORS fire-safety guidelines.
• Understanding of gas, electrical, fire, and general property safety compliance.
• An ARLA or equivalent property qualification would be beneficial.
