This is a fully remote position, open to applicants in Florida.
• Oversee the current schedules of personnel managing individual appointments.
• Utilize FFSMIS to check schedules, arrange client appointments, and send reminders for appointments.
• Investigate ship/Sailor locations and identify the appropriate Points of Contact.
• Confirm referral details and complete Sailor demographic information in FFSMIS.
• Receive both command and non-command referrals and initiate contact with referred Sailors.
• Complete necessary documentation and generate reports within the FFSMIS SAIL record system.
• Schedule initial assessments and non-medical counseling sessions for SAIL.
• Forward initial documentation, follow up on required signatures, and upload files to client case records.
• Handle daily scheduling tasks, inform clients of staff absences, and reschedule appointments as needed.
• Maintain direct service metrics for staff who receive scheduling assistance.
• Provide administrative support, which includes data entry, survey distribution and tracking, coordinating meetings, taking meeting minutes, scheduling appointments, screening callers, and managing directories.
• Develop and update Command POC contact information by installation.
• Annually revise referral and community resource directories in accordance with Navy Certification Standards.
• Offer virtual assistance with digital signatures and generate reports and documents using Microsoft Office.
• Schedule meetings and training sessions using Microsoft Teams and/or Adobe Connect.
• Screen and connect potentially distressed or difficult callers to the appropriate SAIL personnel.
• Completion of a full 4-year degree in human services or a related field from an accredited college or university, or an equivalent combination of education and specialized experience in human services, social sciences, or a related field.
• A minimum of two years of proven experience in providing administrative support within a medical or social services office.
• Proficient with computer and office automation software.
• Extensive knowledge and experience with all Microsoft Office applications and Adobe software.
• Strong customer service skills.
• Excellent organizational abilities and meticulous attention to detail.
• Ability to communicate effectively both orally and in writing with clients, case managers, and supervisors.
• Must reside within a reasonable commuting distance to a military installation.
• Availability to work core business hours relevant to the assigned area of responsibility.
• Required access to U.S. Government facilities and systems.
• U.S. Citizenship is mandatory.
• A valid driver's license, transportation, and auto insurance are prerequisites.
• Capable of working independently and collaboratively as part of a team.
• Ability to provide virtual assistance with digital signatures.
• Proficient in generating data-driven reports using Excel.
• Competent in creating documents using Microsoft Word.
• Able to schedule meetings and trainings through Microsoft Teams and/or Adobe Connect.
• Familiarity with counseling terminology as it relates to levels of care/treatment and the ability to make appropriate independent decisions.
• Proficient in using a comprehensive scheduling system to support multiple locations.
• Knowledge of effective responses in high-pressure, crisis situations.
• Personal or professional experience with the military population is preferred.
• Personal or professional experience with Navy quality of life programs is preferred.
