📋 Description

• Oversee eviction-related processes to ensure synchronization between Owner and Darwin systems.

• Maintain and regularly update the shared Evictions Tracker.

• Collaborate with the internal Evictions Team.

• Meet with external attorneys at least once a month to guarantee adherence to local laws and new regulations.

• Assist with ISP opt-out processes concerning evictions.

• Train and audit local PM teams to establish guidelines for daily compliance matters.

• Develop a compliance and evictions Standard Operating Procedure (SOP) and provide training to PM staff on this SOP and fair housing laws.

• Support initiatives for regulatory compliance.

• Conduct both ad-hoc and annual reviews of state-level landlord-tenant legislation.

• Facilitate updates to lease addenda and operational workflows in response to regulatory modifications.

• Oversee the tracking and management of real estate licenses.

• Engage in initiatives to advance licensing for our leadership team.

• Research, assess, and create a professional development pathway for PM staff in the Real Estate sector.

• Coordinate legal case support among various stakeholders.

• Collect, organize, and share case-related information between Darwin and the Owner.

• Assess risk factors and provide recommendations to both Darwin and the Client to mitigate litigation risks and potential liability.

• Maintain oversight of ongoing legal matters.

• Provide regular updates to the Monday board.

• Facilitate follow-ups among Darwin, Owner, and Legal teams.

• Build and preserve relationships with third-party legal consultants.

• Offer high-level administrative support to leadership.

• Organize internal events and manage logistics.

• Support financial operations.

• Regularly evaluate and compare third-party collection agencies by conducting pilot programs to assess performance in terms of collection volume, recovery timing, and operational support.

• Work in collaboration with third-party partners, internal stakeholders, and clients to provide comprehensive, data-driven insights that guide vendor selection and optimize expenditure.

• Ensure data accuracy across platforms.

• Perform unit-level updates to align data between Owner and Darwin systems.

• Assist with lease and pricing configuration updates.

• Manage lease fee setting updates, subject to system access and role permissions.


⛳️ Requirements

• A minimum of 5 years of experience in business operations, property management, legal operations, or a related discipline, demonstrating increasing scope and responsibility.

• Proven experience in managing cross-functional projects and collaborating with both internal and external stakeholders (such as legal teams, vendors, and ownership groups).

• Strong knowledge of compliance frameworks, regulatory requirements, and/or landlord-tenant laws, with the capability to translate these requirements into operational processes.

• Established ability to manage sensitive and intricate workflows, including evictions, legal cases, or compliance-related operations.

• Experience with data systems, CRMs, or property management platforms, emphasizing data accuracy and process integrity.

• Advanced organizational and project management skills, with the capacity to prioritize competing initiatives and drive execution in a dynamic environment.

• Strong analytical abilities, including experience in reviewing reports, identifying discrepancies, and implementing process enhancements.

• Excellent written and verbal communication skills, with the capacity to present updates and coordinate with executive-level stakeholders.

• High level of discretion and professionalism in managing confidential or legal information.

• Experience supporting senior leadership (e.g., VP/EVP level) and managing administrative or operational priorities on their behalf.

• Proficient in communication and workflow tools (e.g., Zendesk, Monday.com, Slack, Microsoft Office/Google Workspace).

• Real estate license (or the ability to obtain one) is preferred.
