Senior Legal Operations Specialist – Contract

This is a fully remote position, open to applicants in United Kingdom.

📋 Description

• Oversee the comprehensive operational lifecycle of agreements — from initiation through execution, storage, and closure — encompassing all agreement types, such as NDAs (managed from start to finish), MSAs, order forms, SOWs, DPAs, vendor/supplier contracts, and other commercial agreements.

• Act as the main operational contact for commercial contracting activities; collaborate with Sales, Finance, and RevOps to manage deal flow, monitor agreement progress, and escalate significant legal inquiries to in-house counsel for resolution.

• Review and process order forms to ensure compliance with approved rate cards, discount authorizations, and other commercial business rules before execution; flag any exceptions for legal or management review.

• Assign and triage legal request tickets via Salesforce; oversee legal ticketing workflows and lead the assessment and integration of enhanced legal ticketing solutions to improve intake visibility and response tracking.

• Create and manage legal intake processes and matter management workflows to enhance response times and visibility; develop and maintain standard templates, playbooks, self-service legal resources, and escalation frameworks.

• Manage the complete signatory process for all agreements, including maintaining the signing authority matrix, coordinating DocuSign or similar e-signature workflows, and ensuring that executed documents are properly stored and tracked.

• Oversee and maintain the legal document repository, including executed contracts, policies, and templates; ensure proper naming conventions, version control, and access permissions to keep documents organized, secure, and easily accessible.

• Serve as the primary contact for all legal technology platforms; assess, implement, and enhance tools (e.g., CLM, e-signature, matter management, spend management); utilize AI-driven legal tools (e.g., Harvey, CoCounsel, Ironclad AI, or similar) to streamline contract review, drafting, and routine workflows while proactively identifying opportunities to automate repetitive tasks.

• Develop and uphold internal legal policies (data retention, signing authority, acceptable use, etc.); lead training and change management initiatives to ensure that business stakeholders comprehend and adhere to legal processes and self-service tools.

• Monitor the company’s data privacy compliance status in collaboration with the legal and security teams, addressing obligations under GDPR, CCPA, and other relevant state and regional privacy laws; support related compliance frameworks, including SOC 2 and information security policy management.

• Manage data subject requests (DSRs) following applicable privacy regulations; work closely with security and engineering teams to integrate and optimize DataGrail or a similar privacy management platform to automate and streamline DSR workflows and ensure timely, compliant responses.

• Draft initial responses to privacy questionnaires and impact assessments from customers and prospects; coordinate the submission of responses to security questionnaires from the information security team; develop and maintain a response library to speed up completion and ensure consistency across submissions.

• Administer legal holds and liaise with outside counsel on litigation support; maintain litigation hold notices, track custodian acknowledgments, and ensure preservation obligations are fulfilled.

• Coordinate legal input and review for RFP responses, including managing timelines, collaborating with Sales and subject matter experts, and maintaining a library of standard legal responses to expedite future submissions.

• Create and maintain legal operations dashboards and reporting to track KPIs, including, among other metrics, contract cycle times, matter volume, legal expenditures, and SLA compliance.

• Collaborate with Finance to manage outside counsel billing, invoice review, accruals, and budget monitoring; assist in onboarding new outside counsel, including coordinating engagement letters and matter management setup.

• Maintain entity governance records and assist with corporate filings, board materials and minutes, corporate and state registrations, data broker registrations, subsidiary management, insurance oversight, and coordination of intellectual property administration (tracking filings, deadlines, and outside counsel activity).

• Support M&A activities, including coordinating legal due diligence and integration support for acquired entities; as Intentsify continues to expand through acquisitions, this role will be responsible for onboarding new business units into existing legal systems and processes.


⛳️ Requirements

• A bachelor’s degree is required; a paralegal certificate, legal operations certification (CLOC, IILOP), or JD is a plus.

• 3–6 years of experience in legal operations, contract management, or legal technology roles, preferably in a B2B SaaS or high-growth tech environment.

• Practical experience with CLM platforms and a solid understanding of commercial contract types and processes.

• Experience with Salesforce for legal ticketing and intake management; familiarity with dedicated legal ticketing platforms (e.g., Jira Service Management, ServiceNow, or legal-specific intake tools) is a strong advantage.

• Experience in managing e-signature and signatory workflows (DocuSign or equivalent), including the maintenance of signing authority policies.

• Demonstrated experience with or a strong working knowledge of AI-powered legal tools (e.g., Wordsmith, Harvey, CoCounsel, Ironclad AI, Spellbook, or similar); a genuine interest in applying AI to enhance legal operations efficiency.

• A solid understanding of data privacy law (GDPR, CCPA, and emerging state privacy regulations) and hands-on experience managing DPA workflows and privacy compliance programs.

• Proven ability to build and manage dashboards or reporting using tools such as Excel, Salesforce, Jira, Monday.com, or similar.

• Experience working collaboratively with Sales, Finance, Procurement, and/or IT stakeholders.

• Strong project management skills — adept at managing multiple workstreams simultaneously across a multi-entity organization.

• Excellent communication skills with the ability to convey legal concepts in business-friendly terms.

• Prior exposure to M&A due diligence, entity integration, or corporate governance is a plus.
