This is a fully remote position, open to applicants in California, +11 more states.
• Monitor designated shared mailboxes and handle related docket requests promptly in accordance with firm guidelines utilizing IP Business docketing software.
• Ensure precise entry and date calculations for docket entries.
• Assist the Senior IP Docketing Manager in training members of the Central Docketing team.
• Review submitted documents to recognize and docket all deadlines.
• Examine USPTO and foreign filings, confirming their accuracy via agency websites.
• Remove completed deadlines from the docket and address any discrepancies.
• Maintain accurate timekeeper assignments for various matters.
• Create, review, schedule, and distribute comprehensive docket reports for patent and trademark cases.
• Address inquiries from timekeepers and staff regarding docketed dates as well as foreign and domestic agency rules and regulations.
• Collaborate with Docketing, Risk, IP PSC, and firm leadership to enhance docketing practices, policies, and procedures.
• Manage abandoned and transferred matters and support the onboarding of incoming portfolios.
• Oversee quality assurance reviews for patent and trademark filings.
• Initiate new matters and input records into PattsyWave for foreign and domestic patent, trademark, and copyright cases.
• Review IP prosecution correspondence and record due dates from incoming faxes and emails.
• Stay updated on developments, procedures, and regulations concerning U.S. and foreign filing entities.
• Assist with special projects and undertake other assigned responsibilities.
• A 2-year degree or a Paralegal Certificate is required.
• Over 10 years of experience in IP docketing.
• Demonstrated proficiency with IP docketing software such as PattsyWave, Foundation IP, or CPi.
• Advanced understanding of U.S. and foreign patent and trademark prosecution procedures, statutory and filing deadlines, and IP business workflows.
• Familiarity with Maintenance Fee-Annuity-Renewal processes for patent and trademark modules.
• Competency in Microsoft Office, Adobe, and document management systems like NetDocs.
• Capability to prepare, export, edit, filter, sort, search, and reformat large Excel spreadsheets.
• Ability to stay informed about USPTO, PCT, Madrid Protocol, and foreign IP rules and practices.
• Exceptional attention to detail, strong analytical skills, research capabilities, and resourcefulness.
• Capacity to adapt to changes and manage competing demands in a fast-paced environment.
