This is a fully remote position, open to applicants in Florida, +2 more states.
• Serve as a strategic partner to the Chief Operating Officer of GTM by thoroughly understanding business priorities to make informed decisions on their behalf, highlighting critical issues, and filtering out less significant ones.
• Represent the executive's interests and priorities in cross-functional environments, fostering trusted relationships with senior leaders and key stakeholders throughout the organization.
• Anticipate the needs of the business and proactively manage competing priorities in a dynamic, global setting.
• Maintain a comprehensive understanding of GTM priorities, organizational changes, strategic initiatives, and leadership rhythms to enhance the executive's effectiveness.
• Collaborate closely with leaders in Sales, Customer Success, Marketing, Operations, Finance, Product, and other cross-functional teams to ensure that strategic initiatives, communications, and operational rhythms progress smoothly.
• Act as a liaison within the GTM organization by coordinating stakeholders, bringing issues to light, and driving alignment on behalf of the executive.
• Handle complex, high-visibility logistics including leadership offsites, executive meetings, customer events, all-hands gatherings, and global planning sessions.
• Confidently hold stakeholders accountable at all organizational levels, exercising sound judgment on when to follow up, escalate, and maintain momentum on initiatives.
• Actively utilize AI tools to enhance scheduling, communications, research, meeting preparation, and operational workflows.
• Develop streamlined systems, templates, and processes that enhance the operational efficiency of the executive and the broader organization.
• Exemplify modern working practices and share AI-driven best practices within the Executive Assistant community.
• Manage a highly intricate, global calendar with numerous competing priorities and stakeholders across various time zones.
• Organize domestic and international travel with exceptional attention to detail, discretion, and thorough contingency planning.
• Supervise expenses, budgets, purchasing, and executive operational support in alignment with business priorities rather than merely adhering to processes.
• Collaborate closely with the wider Executive Assistant community to ensure effective cooperation and executive coverage.
• Mentor and support fellow Executive Assistants by sharing best practices, tools, and operational insights.
• Establish trusted relationships across the GTM organization, becoming a reliable partner for leaders, cross-functional teams, and key stakeholders.
• 8–12+ years of experience supporting C-level executives or senior executives (VP+) within a fast-paced, global organization.
• Proven experience serving as a strategic business partner—not merely a scheduler—to senior leadership.
• Strong history of leveraging AI tools (e.g., ChatGPT, Claude, Microsoft Copilot) to enhance individual and team productivity.
• Experience working with globally distributed teams and managing complex international schedules across various time zones.
• Exceptional judgment, discretion, executive presence, and business acumen, enabling credible representation of senior leadership.
• Demonstrated ability in planning and executing high-profile executive meetings, customer events, offsites, board meetings, or leadership summits.
• Outstanding organizational abilities with the capacity to juggle multiple priorities while maintaining meticulous attention to detail.
• Skill in building trusted relationships across executive leadership teams and influencing without direct authority.
• Based in Miami, FL (preferred), Austin, TX, or elsewhere within the Eastern Time Zone, with the flexibility to travel and support in-person executive meetings as business needs arise.
