This is a fully remote position, open to applicants in California, +2 more states.
• Manage intricate, multi-time-zone calendars for two executives, addressing scheduling conflicts with strategic insight that considers priorities and business impact, rather than just availability.
• Oversee complete travel arrangements and critical meetings — from board updates to quarterly business reviews and leadership retreats.
• Draft agendas for PMT leadership meetings, meticulously record minutes with actionable items, and ensure follow-through to completion, holding the team accountable for their commitments.
• Format and refine executive-level documents and presentations for product strategy reviews, sales structure discussions, and QBRs.
• Develop straightforward dashboards and trackers that provide a quick overview of outcomes, responsible parties, and deadlines.
• Act as a vital coordination hub within the organization, monitoring cross-functional workstreams related to PMT initiatives and proactively identifying scheduling conflicts, dependency risks, and bottlenecks.
• Handle sensitive business and personnel matters with complete discretion, drafting correspondence for signatures, processing expenses, and aiding in governance documentation.
• Collaborate regularly with REMS Technology leadership regarding shared scheduling and logistics while assisting in the onboarding of new PMT hires and organizing small team events.
• Over 10 years of progressive administrative experience supporting C-suite executives or business unit leaders in large, global organizations, demonstrating the ability to function effectively in high-complexity environments.
• Advanced skills in Microsoft Office suite (Outlook, Word, Excel, PowerPoint) and Microsoft Teams, with the capability to create polished executive-level materials independently.
• Proven experience managing highly confidential information with complete discretion, including handling sensitive personnel issues and business-critical documents.
• Demonstrated independence and sound judgment, able to operate effectively without complete information, anticipate needs proactively, and resolve issues autonomously.
• Outstanding written and verbal communication skills, providing clear, concise, and professional correspondence suitable for executive and board-level audiences.
• Willingness to work beyond standard business hours when urgent business needs arise, including occasional evening or weekend availability during peak periods.
• Bachelor's degree preferred; equivalent professional experience will be considered for candidates with exceptional track records.
