This is a fully remote position, open to applicants in Mexico.
• Send reminders for meetings five minutes prior to their scheduled times.
• Review and oversee the CEO's GSU and company email accounts, identifying and escalating important issues that need attention.
• Safeguard the CEO's time and mental well-being by managing interruptions, prioritizing commitments, and maintaining focus on essential objectives.
• Make and receive phone calls as necessary.
• Prepare meeting notes and keep accurate records of discussions and action items.
• Attend meetings on behalf of or alongside the CEO when necessary.
• Prepare, organize, and distribute the CEO's daily agenda.
• Coordinate and schedule meetings, appointments, and events as requested.
• Manage and oversee the CEO's calendar, ensuring priorities are aligned and proactively resolving scheduling conflicts.
• Maintain strict confidentiality when handling sensitive business and personal information.
• Execute payments and complete administrative transactions as directed.
• Anticipate needs, identify potential issues, and implement proactive solutions.
• Announce, coordinate, and attend office hours as required.
• Support the preparation and coordination for L10 meetings, check-in meetings, office hours, and other recurring leadership gatherings.
• Update and maintain the CEO's task lists and follow up on outstanding action items.
• Liaise with internal teams to ensure projects, priorities, and commitments are organized and on track.
• Conduct research and gather information to assist with decision-making and ongoing initiatives.
• Assist with personal and professional tasks that align with the CEO's priorities.
• Coordinate travel arrangements, itineraries, and related logistics.
• Minimum of 2 years of experience as an Executive Assistant, Administrative Assistant, or in a similar administrative support role.
• Proven experience supporting a senior executive, founder, or leadership team.
• Demonstrated experience coordinating travel arrangements and managing complex calendars.
• Proficiency in Microsoft Office Suite, Zoom, Microsoft Teams, and Calendly.
• Exceptional written and verbal communication skills.
• Strong organizational and time management skills.
• Ability to prioritize multiple tasks in a fast-paced and ever-changing environment.
• Capability to work independently with minimal supervision.
• High level of confidentiality and professional judgment.
• Comfortable conducting research and handling executive support responsibilities.
