This is a fully remote position, open to applicants in Arizona.
• Act as the primary point of contact for clients, medical providers, courts, and business partners by professionally addressing inbound calls through Genesys Cloud with empathy and urgency.
• Provide an outstanding client experience by resolving common inquiries during the initial interaction whenever feasible, thus reducing unnecessary call transfers.
• Direct callers to the relevant attorney, paralegal, case owner, or department following established call routing protocols.
• Precisely record client interactions, update case information, and maintain comprehensive records within Filevine and other internal systems.
• Oversee voicemail queues and ensure that messages are addressed or routed within set service level expectations.
• Safeguard the confidentiality of all client and firm information in accordance with company policies and legal standards.
• Receive, sort, scan, distribute, and prepare incoming and outgoing mail, which includes legal documents, settlement checks, certified mail, and other urgent correspondence.
• Collaborate with attorneys, paralegals, and administrative staff to guarantee that documents and mail are delivered accurately and timely.
• Organize overnight shipments, courier packages, and certified mail as required.
• Keep meticulous mail logs, tracking records, and chain-of-custody documentation when applicable.
• Assist with general office administrative tasks, such as filing, scanning, copying, managing inventory, and maintaining office supplies.
• Achieve or surpass established service level expectations for responsiveness, quality, professionalism, and client satisfaction.
• Identify opportunities for enhancing workflows, client experiences, and operational efficiency.
• Contribute to firm-wide initiatives, process improvements, and special projects as assigned.
• Perform additional client support and administrative duties as necessary to bolster business operations.
• High school diploma or equivalent is required.
• Previous experience as a receptionist, customer service representative, or in an administrative role is preferred.
• Exceptional verbal and written communication skills, along with professional phone etiquette.
• Strong organizational abilities and remarkable attention to detail, with the capacity to manage multiple priorities in a fast-paced setting.
• Comfortable learning and utilizing technology, including Genesys Cloud, Filevine, Microsoft Office, and Google Workspace.
• Capability to maintain confidentiality and manage sensitive information with discretion.
• Client-first attitude with strong problem-solving skills and the ability to work autonomously across various departments.
• Experience in a legal office or professional services environment is advantageous, but not mandatory.
