This is a fully remote position, open to applicants in Brazil.
• Ensure the seamless operation of daily administrative, leasing, compliance, and reporting tasks across various manufactured housing communities.
• Input and manage leases, renewals, move-ins, and move-outs in Rent Manager.
• Upload and organize resident documents, including IDs, income verification, applications, and agreements.
• Monitor lease expiration dates and proactively flag renewals.
• Process resident information sheets and ensure they are complete.
• Conduct background and credit checks and keep track of them.
• Document approvals and denials in accordance with Fair Housing guidelines.
• Maintain audit-ready files for each resident.
• Assist in complying with HUD, state, and park-level regulations.
• Accurately post rent, utilities, late fees, and one-time charges.
• Help set up billing for water, sewer, trash, and power.
• Identify and flag non-sufficient funds (NSFs), delinquencies, and discrepancies.
• Collaborate with accounting to address corrections and reconciliations.
• Create and update work orders in Rent Manager.
• Monitor the status of work orders and follow up with Community Managers.
• Upload invoices, notes, and before-and-after photographs.
• Assist in ensuring that maintenance hours are logged accurately.
• Generate weekly and monthly reports, including occupancy rates, delinquencies, move-ins/move-outs, and the leasing pipeline.
• Verify data accuracy across Rent Manager and Google Sheets.
• Proactively identify exceptions, trends, and risks.
• Provide back-office support for on-site Community Managers.
• Communicate effectively via Slack and email.
• Escalate issues with relevant context and documentation.
• Maintain a professional, calm demeanor and focus on solution-oriented communication.
• Strong proficiency in Rent Manager or a demonstrated ability to learn quickly.
• Familiarity with Google Sheets, Docs, and Drive.
• Basic understanding of U.S. leasing and billing concepts.
• Highly detail-oriented.
• Organized and process-driven.
• Strong integrity when handling confidential information.
• Proactive in problem-solving.
• Comfortable managing support for multiple communities at once.
• Availability for Central Time Zone overlap is required.
• Daily time tracking using Hubstaff or a similar tool.
• Strict compliance with standard operating procedures (SOPs).
• Zero tolerance for data manipulation or shortcuts.
• At least 2 years of experience in real estate back-office, property management, or operations.
• Previous experience supporting U.S. clients is preferred.
• Ability to remain calm under pressure, with a focus on execution and reliability.
• Intermediate to advanced proficiency in Google Sheets, Docs, and Drive.
• Working knowledge of U.S. leasing, billing, and compliance concepts.
