This is a fully remote position, open to applicants in Tennessee.
• Support various verticals by identifying RFPs/RFIs through corporate tools (GovWin, GovSpend).
• Collaborate with the EVP, Sales Manager, Account Executive (AE), Finance, Development, and Legal teams to assess if opportunities align strategically.
• Any RFPs/RFIs exceeding $100K necessitate a review meeting involving the Sales Manager, AE, Proposal Manager, EVP, Paul Christians, Lisa Coram, and Alysha Marx.
• Upon deciding to proceed with an RFP/RFI, establish and manage tools (Teams, SharePoint, Salesforce, Loopio, Copilot, etc.) in accordance with the RFP Detailed Process to monitor and execute responses.
• Balance workload according to deadlines and priorities as directed by the Sales Manager and/or EVP.
• Proactively identify and manage risks (contractual, pricing, scope) and escalate issues as necessary.
• Maintain regular communication with Sales Managers and EVPs regarding changes in due dates, priorities, status updates, and strategies.
• Facilitate client communications while adhering to the guidelines established in the bid, such as submitting questions within the specified timeframe.
• Track and communicate any amendments, deadline adjustments, or updates to requirements.
• Assign sections to Subject Matter Experts (SMEs) and provide clear instructions on expectations.
• Collaborate with Legal, Finance, and Product teams to collect necessary inputs.
• Escalate any delays or risks affecting deadlines to Lisa Coram and Alysha Marx.
• Develop, draft, and revise proposal content, including cover letters and response narratives.
• Customize responses to meet client specifications, vertical strategies, and win themes by leveraging previously successful proposals.
• Engage in debriefing/lessons-learned sessions following proposal submissions to offer insights and suggestions for enhancing the proposal process.
• Ensure the overall quality of proposals by confirming that:
• All questions are thoroughly answered.
• Requirements are fulfilled.
• Submissions are accurate, consistent, and professional.
• Maintain, update, and utilize proposal content libraries and tools (Loopio, Salesforce, SharePoint, Copilot).
• Set and manage follow-up reminders with AEs, Sales Managers, and EVPs after proposal submission.
• If authorized or requested by the vertical EVP and/or CRO, submit and track the FOIA process for any submitted RFI/RFPs.
• High school diploma or equivalent.
• Minimum of 1 year of experience in managing proposal content.
• Intermediate to advanced proficiency in Microsoft Office.
• Strong communication skills, with the ability to deliver presentations and write clear, detailed proposals.
