This is a fully remote position, open to applicants in Philippines.
• Responsible for various functions
• Effective communication skills
• Management of inbox communications
• Weekly client update emails
• Assess and implement regular client communication as necessary, even if it deviates from original instructions
• Inform the Account Executive of client dissatisfaction, missed deadlines, and significant issues
• Accounting tasks to encompass: Vendor credits, transferring funds, general receipts & deposits, tenant charges, tenant deposits, tenant credits, owner adjustments, ownership changes, owner cancellations, including transferring deposits to new ownership/management, lease-only payouts, HAP payments, late fees, eviction notices, NSF processing, security deposits, as well as both the standard AppFolio workflow and any specific client constraints or policies
• Accounts Payable cycle management
• Approval of bills (if entered by the Virtual Assistant)
• Management fee posting and disbursement
• Vendor payment processing (considering any unique client constraints)
• Send physical check files to clients
• Initiate or request stop payments as directed
• Owner accounting responsibilities
• Review and send owner statements
• Manage owner disbursements
• Banking tasks
• Follow up on bank deposits
• Troubleshoot and review bank reconciliations
• Initiate bank transfers
• With Account Executive approval, enter corrective journal entries
• Review checks issued over the past 90 days
• Other projects as assigned
• Review of negative and positive FDR
• Assist with 1099s and other projects assigned by the Account Executive as needed
• Generate ad hoc reports (following established processes)
• Examine management fees for new move-ins
• Assess fee structures for vacant properties
• Oversee recurring journal entries and bills
• Administrative expectations include:
• Engage in setting and achieving SMART goals monthly and quarterly
• Attend weekly company meetings
• Contribute to company initiatives
• Background in Accounting or a solid understanding of fundamental accounting principles
• Familiarity with AppFolio
• Intermediate skills in Microsoft Excel and Google Sheets
• Strong written communication abilities
• Exceptional problem-solving capabilities
• Attention to detail
• Capacity to grasp new concepts through written and hands-on training
• Experience with Google Suite products (preferred)
• Knowledge of property management accounting (preferred)
