This is a fully remote position, open to applicants in India.
• Responsible for overseeing specific functions.
• Facilitate effective communication.
• Manage the inbox efficiently.
• Send weekly update emails to clients.
• Assess and implement routine client communication as necessary, even if not included in initial instructions.
• Inform the Account Executive (AE) about client dissatisfaction, missed deadlines, and significant issues.
• Handle accounting requests that include:
• Vendor credits.
• Fund transfers.
• General receipts and deposits.
• Tenant charges.
• Tenant deposits.
• Tenant credits.
• Owner adjustments.
• Changes in ownership.
• Owner cancellations.
• Transfer deposits to new ownership or management.
• Manage Lease Only payouts.
• Process HAP payments.
• Handle late fees, eviction notices, and NSF processing.
• Manage security deposits.
• Understand both the basic AppFolio workflow and any specific client constraints or policies.
• Oversee the A/P cycle.
• Approve bills (if entered by the Virtual Assistant).
• Post and payout management fees.
• Process vendor payments while adhering to unique client constraints.
• Send physical check files to clients.
• Issue or request stop payments as directed.
• Manage owner accounting.
• Review and send owner statements.
• Handle owner disbursements.
• Manage banking responsibilities.
• Follow up on bank deposits.
• Troubleshoot and review bank reconciliations.
• Initiate bank transfers.
• With AE approval, enter corrective journal entries.
• Review checks issued over the past 90 days.
• Participate in various projects.
• Conduct negative and positive FDR reviews.
• Assist with 1099s and other projects assigned by the AE as requested.
• Perform ad hoc reporting following established processes.
• Review management fees for new move-ins.
• Examine fee settings on vacant properties.
• Manage recurring journal entries and bills.
• Meet administrative expectations by:
• Participating in the establishment and achievement of SMART goals on a monthly and quarterly basis.
• Attending weekly company meetings.
• Engaging in company initiatives.
• A background in Accounting or a solid understanding of basic accounting principles.
• Experience using Appfolio.
• Intermediate skills in Microsoft Excel and Google Sheets.
• Strong written communication skills.
• Exceptional problem-solving abilities.
• Detail-oriented approach.
• Capability to grasp new concepts with both written instructions and hands-on support.
