Project Support Specialist

This is a fully remote position, open to applicants in Taiwan.

📋 Description

• Acts as a vital member of the project team offering cross-functional assistance aimed at facilitating the effective management of the assigned studies.

• Oversees the entire meeting process, which includes scheduling both internal and external meetings, preparing and distributing agendas, taking minutes, sharing and updating minutes based on feedback from team members, and archiving meeting materials in the Trial Master File.

• Aids in the development and upkeep of the project timeline using MS Project or a similar platform. Gathers updates from team members, documents these updates, and ensures they are communicated to the cross-functional study team.

• Executes a variety of activities and tasks within clinical systems relevant to their specific role and project scope.

• Manages the lifecycle of study-specific training by gathering, tracking, and uploading training materials, assigning team members to the appropriate training sessions, and recording the completion of study-specific training in the relevant systems. Maintains training records and archives them in the Trial Master File.

• Identifies training gaps by reviewing team member compliance on a regular basis and collaborates with relevant team members to ensure training is completed. Escalates issues to the Project Manager as necessary.

• Establishes a study-level SharePoint site or equivalent collaborative workspace and ensures proper access for study team members, sponsors, and others as required.

• Creates project-specific email accounts and manages access for study team members appropriately.

• Oversees user access to study systems by submitting requests to the Helpdesk or similar service, reviewing team member access on a regular basis, and documenting the outcomes of these reviews. Ensures swift removal of system access for team members who are no longer involved in the study.

• Orders study supplies and addresses any inquiries related to them.


⛳️ Requirements

• Bachelor's degree or international equivalent; or comparable experience preferably in a business, scientific, or healthcare field.

• At least 2 years of relevant experience or demonstrated skills in the essential requirements of the position.

• Proficiency in the Microsoft Office suite (Outlook, Word, Excel, and PowerPoint).

• Customer-oriented attitude; showcases adaptability, teamwork, and meticulous attention to detail.

• Ability to communicate clearly both verbally and in writing in English.
