• Provide support and communication to observers.
• Create protocols for observers.
• Collaborate closely with subcontracted CLASS observers assigned to specific observation projects.
• Onboard subcontracted CLASS observers for particular projects.
• Offer CLASS reliability and calibration assistance to project-specific CLASS observers.
• Comprehend and enforce project protocols to ensure observers meet client expectations.
• Facilitate weekly meetings for observers.
• Review and audit observations entered into the data system by observers to verify that scoresheets are complete, evidenced, and compliant with protocol.
• Review and approve invoices submitted by observers.
• Identify recruitment needs and collaborate with the Observation Services Manager to ensure the selection and training of qualified candidates, both internally and externally.
• Provide necessary scheduling support for assigned enterprise, video, or other live observation projects.
• Coordinate the scheduling and rescheduling of classroom observations by remote field staff using email communication tools, survey software, and Google office software to assist with logistics and staffing.
• Assist Project Teams with communications on the day of the site.
• Communicate directly with clients and school staff when scheduling changes arise, as required by the project.
• Manage multiple Salesforce case queues along with related communications, email queues, phone calls, and morning support.
• Collaborate closely with the project team and client sites to ensure accurate scheduling communication.
• Maintain comprehensive records of all scheduling changes.
• Cultivate and support strong working relationships with remote field staff and clients.
• Review and analyze observation, observer, and client feedback data as necessary to promote continuous improvement in observations and services.
• Work collaboratively with team members to ensure adherence to Teachstone internal protocols.
• Develop and uphold strong working relationships with clients and other project managers.
• Assist the project team in tracking all observation details.
• Document efficiencies in the management of observation services projects.
• Provide support for CLASS feedback audits as required.
• Perform other duties as assigned.
• Bachelor's degree or a comparable combination of education and experience.
• Strong knowledge of and experience with the CLASS methodology is essential.
• Excellent skills in Excel and Google Sheets.
• Fluency in English is required; Spanish fluency is a plus.
• Exceptional interpersonal skills, including a professional and diplomatic demeanor.
• Outstanding communication skills, encompassing written, verbal, and listening abilities.
• Proficient in using standard Google office software such as Gmail, Google Docs, Sheets, and Presentations.
• Ability to prioritize and manage competing demands and shifting expectations.
• Enjoy working in a highly collaborative, fast-paced, team-oriented environment.
• Capable of thinking both at a big-picture and detailed level.
• Experience with Learning Management Systems (e.g., Canvas) is an advantage.
