• Function as a working manager by performing daily production tasks alongside team members, which include BOM calculations, PO creation, and documentation management.
• Collaborate with team members to share responsibility for the daily workload while ensuring process adherence, precision, and accountability.
• Detect and rectify errors in real-time within production planning, purchasing, and documentation workflows.
• Determine raw material needs based on BOM across various SKUs and production runs.
• Reconcile on-hand inventory, address prior overages, and review open POs before proceeding with new purchases.
• Meticulously track and apply yield, loss factors, and surplus materials from previous production runs.
• Generate and issue precise purchase orders to suppliers and contract manufacturers.
• Oversee the complete inbound documentation process, which includes: Certificates of Analysis (COAs), packing slips, shipping documents, traceability, and compliance documentation, as well as vendor/manufacturer communications.
• Maintain a thorough, consistent, and audit-ready paper trail for all transactions.
• Directly coordinate with contract manufacturers and co-packers across multiple active production runs.
• Issue production orders, monitor schedules, and proactively address any delays.
• Hold vendors accountable for timeline adherence, specifications, and documentation requirements.
• Achieve high accuracy levels in a manual, process-intensive environment without relying on ERP systems.
• Collaborate with Planning, Procurement, and Regulatory teams to synchronize production schedules with demand.
• Ensure material availability aligns with production timelines.
• Monitor production KPIs and identify potential risks that could affect output, inventory, or timelines.
• Maintain documentation and traceability systems that are always audit-ready.
• Ensure compliance with GMP, quality standards, and regulatory requirements.
• Directly manage and develop team members while remaining actively engaged in execution.
• Serve as an escalation point for issues while ensuring root cause analysis and resolution.
• Practical experience with BOM management, including raw material calculations, yield/overage adjustments, and inventory reconciliation prior to purchasing.
• Advanced proficiency in spreadsheets within manual, non-ERP environments.
• Experience in managing large and complex datasets involving over 100 suppliers.
• Demonstrated capability to maintain accuracy without system safeguards.
• Direct responsibility for PO issuance and inbound documentation management, which includes COAs, packing slips, shipping documents, and traceability records.
• Ability to maintain complete, audit-ready documentation trails.
• Proven experience as a player-coach.
• Comfortable performing daily operational tasks while leading a team.
• Not exclusively strategic or delegative in leadership approach.
• Experience managing contract manufacturers and co-packers, which includes production order issuance, schedule tracking and follow-ups, vendor accountability, and end-to-end production and documentation lifecycle management.
• Strong attention to detail with a zero-error mindset in high-risk operational settings.
• Ability to manage multiple production workflows, suppliers, and documentation streams concurrently.
• Must be willing to work following Eastern Standard Time.
• Must be willing to utilize a time tracker to monitor productivity during work hours.
