This is a fully remote position, open to applicants in United States, +10 more states.
• Act as a liaison among vendors, crew members, and internal departments to enhance cross-vertical communication.
• Coordinate daily activities, Cinesync and Zoom sessions, rounds, and meetings; take notes and ensure follow-up on discussed information.
• Keep Shotgrid up to date with notes, shot statuses, and essential information.
• Collaborate with the Line Producer and Supervisors to monitor and manage artists and deadlines.
• Assist the Line Producer with scheduling tasks.
• Maintain accurate crew records and review management alongside the Production Manager.
• Facilitate the precise approval of timecards.
• Oversee crew actuals and manage bid man-days within the scheduling document.
• Proactively identify and communicate potential issues to the Line Producer and Supervisor.
• Relay information swiftly and succinctly to crew and departments.
• Maintain updated internal and client contact lists.
• Supervise the execution of client deliveries.
• Compile weekly project reports incorporating input from the Supervisor and Line Producer.
• Organize wrap meetings and manage client gift lists.
• Foster and maintain a positive, energetic, and professional production office environment.
• Welcome new artists and offer proactive, solution-focused assistance.
• Support Production with additional ad hoc responsibilities.
• Familiarity with digital audio and video file formats.
• Highly organized, efficient, and detail-oriented.
• Ability to thrive in a fast-paced and constantly changing environment.
• Willingness to respond after hours for urgent, timely matters.
• A collaborative team player who excels in a fast-paced, team-oriented atmosphere.
• Strong enthusiasm for the company culture and values.
• Proficient in Google Sheets.
• Strong proficiency in Microsoft Office applications, including Excel and Word.
• Solid knowledge of Filemaker Pro.
• Familiarity with production databases, including Filemaker Pro and Shotgrid, is preferred.
• Specific understanding of animation or VFX processes/pipelines is advantageous.
• Basic knowledge of Maya and Photoshop is a plus.
• Basic understanding of Avid/editorial processes.
• Must reside in California, Georgia, Texas, Oregon, Connecticut, Florida, New Jersey, New York (outside NYC), Colorado, Washington, or Canada for remote roles.
