This is a fully remote position, open to applicants in Costa Rica.
• Collaborate with Legal, Finance, and Accounting throughout the Procure-to-Pay process.
• Serve as a buyer for designated lower-value, low-risk spending categories.
• Assess incoming requests for completeness, relevance, and compliance with policies.
• Choose vendors, verify reasonable pricing, and secure favorable payment conditions.
• Engage in light negotiations regarding pricing, terms, and renewals; escalate complex issues as needed.
• Manage supplier relationships, including onboarding, performance monitoring, and issue resolution.
• Analyze spending and volume trends to uncover consolidation and savings opportunities.
• Generate and process requisitions and purchase orders.
• Facilitate contract signature routing, upload documents into systems, and maintain precise records.
• Shift manual tasks to intake and orchestration platforms as technology evolves.
• Handle workflow exceptions, troubleshoot problems, and enhance platform routing and work assembly.
• Preserve procurement records, contract metadata, and renewal tracking.
• Identify workflow friction points and suggest enhancements.
• Guide business owners on procurement requests and suitable next steps.
• Assist with RFx and sourcing activities, including bid assessments and negotiated pricing and terms.
• Undertake other duties as assigned.
• 1-2+ years of experience in procurement, purchasing, or a Procure-to-Pay function, with exposure to buying, vendor interactions, or commercial decision-making.
• Comfort with hands-on, transactional tasks and a significant manual workload.
• Strong commercial judgment.
• Practical proficiency in Coupa, including requisitions, POs, approvals, and supplier records.
• Solid operational process and workflow discipline.
• Excellent written and verbal communication skills in English.
• Ability to engage effectively with business owners, vendors, legal counsel, and procurement staff.
• High level of organization and the capability to manage multiple concurrent requests.
• Customer-service orientation towards internal stakeholders.
• Meticulous attention to detail.
• Proficiency in Google Workspace or equivalent office software.
• Willingness to undertake additional functional responsibilities as needed.
• Must reside in Costa Rica.
• Bachelor’s degree preferred or an equivalent combination of education and experience.
• Nice-to-have: proficiency in utilizing AI tools in daily tasks.
• Nice-to-have: experience applying AI to procurement scenarios.
• Nice-to-have: familiarity with intake and orchestration platforms such as Zip, Oro Labs, Omnea, or Levelpath.
• Nice-to-have: experience with Smartsheet.
