This is a fully remote position, open to applicants in United States.
• Directly oversee and enhance the procurement team, focusing on workload allocation, mentoring, and performance evaluation.
• Convert the procurement strategy and guidance established by leadership into specific team objectives, processes, and daily operations.
• Assume responsibility for the execution of current-state purchase orders and procurement workflows utilizing Jira and NetSuite.
• Assess and help outline the future direction for procurement tools — this may include a potential integration between Jira and NetSuite, an upgrade of NetSuite to better support procurement activities, or the implementation of third-party procurement solutions.
• Promote process documentation and continuous enhancements across procurement workflows (e.g. expedited purchase order procedures, best practices for vendor billing and purchase orders).
• Act as a point of escalation for routine procurement challenges, facilitating the removal of obstacles for the team.
• Provide reports on team performance, procurement metrics, and process efficiency to leadership.
• Manage vendor relationships as a separate function from procurement process execution, with a dedicated focus on vendor relationships, associated risks, and their lifecycle.
• Establish and formalize a vendor review process that includes onboarding, ongoing risk assessment, and offboarding procedures.
• Forge partnerships with InfoSec and Legal to create multi-lane, requirements-based review pathways tailored to purchase type (e.g. software, services, hardware) and vendor status (new or existing/renewal).
• Set criteria for escalation and review that adjusts review intensity based on risk factors (e.g. data access, spending thresholds, contract types) rather than applying a uniform process to every vendor.
• Support Smarsh's transition towards a more sophisticated, enterprise-level procurement process by ensuring that vendor governance evolves with sourcing and tooling advancements.
• A minimum of 5 years of experience in procurement, sourcing, or vendor management, with at least 2 years in a leadership role.
• Proven track record in developing or enhancing a vendor review/risk process, preferably in collaboration with InfoSec and/or Legal.
• Experience in driving process improvements and documentation within a procurement or operational capacity.
• Strong capability to translate high-level strategic aims into effective team execution.
• Outstanding communication and stakeholder management abilities across Finance, IT, InfoSec, Legal, and vendor-facing operations.
• Preferred experience in leading or participating in the evaluation or migration of procurement systems (e.g. build vs. buy decisions, tooling RFPs).
• A background specifically in IT/technology vendor procurement is preferred.
• Experience in designing risk-tiered or multi-lane vendor review frameworks is preferred.
• Preferred experience in supporting compliance or audit requirements related to procurement (e.g. SOC 2, vendor risk).
