This is a fully remote position, open to applicants in Canada.
• Offer administrative assistance for People & Development initiatives throughout North America, which includes managing benefits, leave tracking, onboarding, offboarding, employee engagement projects, and activities related to the employee lifecycle.
• Oversee employee leaves of absence and workplace accommodations, ensuring proper documentation is coordinated, tracking leave status, collaborating with internal partners, and maintaining compliance with relevant federal, state, provincial, and company regulations.
• Act as a main contact for employee benefits inquiries, providing support and guidance while working with vendors and internal teams to address issues and secure a positive employee experience.
• Address routine questions from employees and managers, escalating complex issues to the appropriate People & Development team member.
• Deliver administrative and operational support to the NALA People & Development Lead, which includes organizing onboarding sessions, meetings, training programs, employee-related events, and ensuring timely follow-up on inquiries and action items.
• Facilitate and assist with onboarding and offboarding processes to create a seamless and engaging experience for employees throughout their lifecycle.
• Ensure the accuracy, integrity, confidentiality, and organization of employee data, files, records, and documentation across all North America People & Development systems and platforms, guaranteeing that information is accurate, compliant, and current.
• Process updates and changes for employees, such as compensation adjustments, job changes, reporting line updates, leave administration, employment documentation, and HRIS transactions.
• Assist with compliance-related tasks, including policy acknowledgments, tracking training completion, conducting audits, maintaining records, and reviewing employment documentation to ensure adherence to relevant employment legislation and company policies.
• Support employee relations documentation by maintaining accurate records and assisting the NALA People & Development Lead with administrative follow-up tasks.
• Generate and maintain reports, dashboards, and people-related metrics to meet compliance standards, operational requirements, workforce planning efforts, and People & Development initiatives.
• Prepare reports and manage People & Development data to facilitate reporting and workforce analytics.
• Aid in the evaluation, development, and continual enhancement of People & Development processes, policies, workflows, and documentation to promote operational efficiency, consistency, and compliance.
• Collaborate across departments with Payroll, Finance, Talent Acquisition, IT, and business leaders to support People operations and organizational goals.
• Participate in special projects and broader People & Development initiatives as needed.
• Maintain the highest standards of professionalism, confidentiality, discretion, and sound judgment at all times.
• At least 2 years of experience in Human Resources, People & Development, or a related field.
• Basic understanding of U.S. Human Resources principles, employment practices, and federal, state, and local employment regulations.
• Preferred familiarity with Canadian Human Resources principles and relevant federal and provincial employment legislation.
• Proven experience in managing employee leaves of absence, accommodations, and related support processes.
• Practical experience in coordinating and overseeing onboarding and offboarding activities.
• Knowledge of Human Resources processes, including employee lifecycle management, HRIS oversight, employee records, benefits administration, and compliance support.
• Strong organizational and problem-solving abilities, capable of researching common HR inquiries and escalating complex issues when necessary.
• Comfortable in an administrative and operationally driven environment with a high volume of requests, transactions, and competing priorities.
• Excellent written, verbal, and interpersonal communication skills, able to communicate professionally and effectively across all organizational levels.
• Highly organized and detail-oriented, with exceptional skills in time management, prioritization, and follow-through.
• Ability to manage multiple priorities while collaborating with guidance from senior People & Development team members.
• Strong sense of professionalism, integrity, confidentiality, and discretion in handling sensitive employee and company information.
• Experience with HRIS platforms and proficiency in Microsoft Office applications, including Excel, Word, Outlook, and PowerPoint.
• Willingness to work Eastern or Central time zone hours.
