This is a fully remote position, open to applicants in United States.
• Oversee appointment administration and assist with updates to NPA forms for Supervisors (SVs) and Program Directors (PDs), particularly during NPA locking periods.
• Generate daily FLEX reports to identify necessary billing corrections and payroll updates; provide locking instructions to new team members.
• Dispatch email and text reminders to staff concerning NPA or payroll requirements.
• Assist with verifying drive time, mileage, and lunch entries to ensure accurate logging.
• Keep the Drive Time/Mileage (DT/M) tracker current by incorporating corrections for graduation programs.
• Organize and maintain the Payroll Support Thread, ensuring accuracy in bi-weekly reports and verifications to successfully close and finalize payroll.
• Provide assistance during payroll processing, including scheduling support for payroll-related tasks.
• Aid with Release of Information (ROI) and Change of Address follow-ups with clinical personnel.
• Prepare and monitor Parent Verification Forms (PVFs) for NBRC/CCS, organizing documents and following up with guardians.
• Update session locations in accordance with the Change of Address tracker.
• Assist in the final verification of overtime and mileage for payroll purposes.
• Facilitate Parent Portal access as required.
• Maintain and refresh the ABA email roster for monthly newsletters.
• Support termination verification, including following up on Staff Status updates for the NPA roster.
• Provide training assistance as necessary.
• Help with additional administrative tasks as needed.
• Availability to work weekends and holidays is essential.
• At least 1–2 years of administrative experience in areas such as medical billing, data entry, or coding.
• Experience in healthcare, behavioral health, or a related field is advantageous.
• Proficient in Microsoft Excel, including filtering, sorting, data manipulation, pivot tables, and formulas.
• Comfortable learning and navigating various systems, such as the NPA by Ensora Health platform.
• Familiarity with the NPA Program by Ensora Health is a plus.
• A proactive problem solver who can identify issues, investigate root causes, and follow through independently.
• Possesses a strong customer service orientation – Will frequently interact with clinical staff to secure signatures, update session/location/codes, and clarify documentation requirements.
• Collaborative and responsive – Effectively works across departments and communicates well with both peers and clinicians.
• Self-motivated – Engages in constant communication and can take the lead on projects.
• Competitive pay: $20–$23/hour, dependent on experience.
