This is a fully remote position, open to applicants in Philippines.
• Conduct daily bank reconciliations for transactions from the previous day.
• Execute daily credit card reconciliations and keep track of account balances.
• Oversee shared email inboxes and properly file supplier invoices.
• Generate and assess GST/BAS reports each day to confirm accuracy of balances.
• Facilitate credit card payments and account top-ups as necessary.
• Handle and reconcile supplier accounts, including those for Bunnings and courier expenses.
• Focus primarily on Bunnings Expenses and Courier Invoices.
• Reconcile 30-day supplier statements and investigate any discrepancies.
• Process weekly payments to creditors according to established payment schedules.
• Manage end-of-month payments for 30-day trading accounts.
• Process supplier credits, returns, and adjustments.
• Issue customer credits and refunds when necessary.
• Approve daily employee timesheets using Deputy.
• Process and export timesheets from Deputy into Xero.
• Complete payroll processing for labor staff in Xero.
• Process payroll for MINT Salaries and DIY Salaries teams following management approval.
• Manage and pay employee superannuation through Xero.
• Export labor hours into Excel spreadsheets and maintain pivot table reporting.
• Accurately allocate labor costs to jobs and POS dockets.
• Assist in maintaining precise financial and payroll records.
• Support daily financial administration and ensure compliance with internal processes and deadlines.
• Prior experience in accounts payable, payroll, bookkeeping, or finance administration.
• Extensive experience using Xero for payroll, reconciliations, and financial processing.
• Familiarity with Deputy for timesheet approvals and exports.
• Proficient in conducting daily bank and credit card reconciliations.
• Experience in managing supplier invoices, payments, credits, and account reconciliations.
• Strong Excel skills, including proficiency in pivot tables, reporting, and data management.
• High attention to detail and the ability to identify discrepancies independently.
• Comfortable working under recurring deadlines and within structured processes.
• Strong written communication skills and the ability to coordinate with internal teams remotely.
• Experience with Australian payroll, BAS/GST reporting, or labor costing is highly preferred but not mandatory.
