This is a fully remote position, open to applicants in Texas.
• Prepare and disseminate agendas, materials, and minutes for the board and committees.
• Coordinate logistics for meetings, including scheduling, technology setup, and follow-up tasks.
• Maintain calendars and annual work plans for the board and committees.
• Assist with the election, onboarding, and training of new board members.
• Create and uphold electronic files and data to ensure databases and spreadsheets are accurate.
• Conduct research and address information requests.
• Manage SharePoint sites, libraries, and forms.
• Ensure that board and committee operations adhere to governance best practices and regulatory standards.
• Oversee the Governance team inbox by responding to inquiries, coordinating prompt follow-ups, and organizing emails for record-keeping.
• Address regulatory inquiries, audits, and requests from third parties/vendors and internal sources.
• Facilitate the collection of physical and digital signatures from company officers and directors.
• Maintain and update compliance databases.
• Assist with shareholder recordkeeping and the development, implementation, and completion of lifecycle processes.
• Bachelor’s Degree.
• At least 4 years of experience in a similar role within a global organization, with a strong understanding of board administration.
• Advanced proficiency in Microsoft Word, Excel, PowerPoint, Outlook, SharePoint, and Adobe Acrobat Pro.
• Exceptional attention to detail and accuracy.
• Strong organizational skills with the ability to manage competing priorities while consistently meeting deadlines.
• Resourceful, technologically adept, and adaptable to assignments in a dynamic environment.
• Excellent written and verbal communication abilities.
• Prior experience in environments requiring confidentiality, including the responsible management of sensitive records, communications, and organizational information.
• Experience managing small to mid-sized projects.
