• Provide both administrative and substantive legal assistance to the Legal Affairs Division, which includes the CEO, external counsel, and other designated leaders.
• Aid in the preparation of legal documents, coordination of contracts, tracking compliance, management of legal files, and support for litigation across Enterprise Management and its affiliated entities.
• Facilitate U.S.-based legal processes such as document drafting, case management, client intake coordination, records requests, scheduling, and legal correspondence, while ensuring organized records and efficient legal operations in a dynamic, multi-entity remote setting.
• Prepare, format, and proofread various legal documents including contracts, NDAs, MOUs, amendments, pleadings, correspondence, and compliance certifications.
• Assist with initial reviews of contracts and legal documents to verify completeness, consistency, and compliance with standard templates.
• Maintain document control systems such as Google Drive, Legal Dropbox, and legal case management platforms.
• Organize and sustain legal files, including vendor agreements, litigation records, regulatory documents, and corporate records.
• Receive, categorize, and route legal correspondence, records requests, and scanned documents for legal review.
• Monitor contract deadlines, court dates, renewal schedules, and legal obligations utilizing shared calendars and task management tools.
• Coordinate internal reviews, the signature collection process, and document routing for legal approvals.
• Schedule meetings and keep communication logs with legal advisors, consultants, clients, and internal departments.
• Assist in coordinating client intake and gathering necessary documentation.
• Support records retrieval, document organization, and litigation support activities as needed.
• Help prepare documentation necessary for regulatory compliance and organizational filings.
• Associate’s degree or certificate in Legal Studies, Business Administration, or a related field (Bachelor’s degree preferred).
• Paralegal certificate is preferred.
• A minimum of 1–3 years of experience in a paralegal, legal assistant, litigation support, or legal administrative support role.
• Prior experience in supporting U.S.-based legal processes, attorneys, or regulatory environments is highly preferred.
• Experience in legal document preparation, case management, scheduling, client intake, records requests, or litigation support is preferred.
• Familiarity with legal case management or legal workflow software is preferred.
• Strong proficiency in the English language is required.
• Bilingual ability in Spanish and English is preferred.
