This is a fully remote position, open to applicants in South Africa.
• Oversee and review closing checklists, transaction trackers, virtual data-room indexes, and redline status tables while proactively pursuing outstanding engagement letters, board materials, and corporate records.
• Gather, compile, and monitor intricate brokerage deposit packages, account-opening documentation, and continuous KYC updates, directly liaising with transfer agents and banking compliance teams regarding share issuances, DRS/DWAC transactions, and restricted-to-free transfers.
• Transform disorganized, rapid directives from emails, phone calls, and messaging platforms into organized, weekly action summaries and prioritized task lists.
• Coordinate executive calendars, organize board meetings, and facilitate stakeholder communications efficiently across various international time zones.
• Compose high-level, professional business emails, meeting agendas, detailed minutes, and executive summaries while ensuring version and identifier control over corporate documentation.
• Uphold strict confidentiality protocols, managing shareholder personal data, beneficial ownership details, and sensitive deal terms exclusively within authorized systems, avoiding the storage of any unauthorized local copies.
• A minimum of 5 years of specialized experience in transaction support, paralegal work, law-firm assistance, corporate services, investment banking operations, or structured family-office/executive support settings.
• Proven track record of collaborating directly with lawyers, corporate finance teams, or C-suite executives.
• Outstanding written communication skills, with the ability to condense highly complex financial or legal discussions into clear, actionable items.
• High level of attention to detail concerning specific entity names, numerical dates, document versions, and transactional deadlines.
• Demonstrated ability to operate independently with minimal supervision, maintaining exceptional organization amid changing corporate priorities and dynamic deal flows.
