Operations – Legal Administrator

This is a fully remote position, open to applicants in Illinois, +3 more states.

📋 Description

• Maintain the 501(c)(3) designation and ensure adherence to all Delaware state and US federal regulations.

• Organize meetings for the Board of Directors, which includes preparing agendas, compiling board materials, and drafting official meeting minutes.

• Serve as the main point of contact with external legal advisors and accounting firms to guarantee timely submission of tax returns (e.g., Form 990).

• Supervise State Charitable Solicitation Registrations and renewals to support compliance for US-based fundraising efforts.

• Collaborate with the payroll provider to ensure efficient payroll processing for staff based in the US.

• Offer basic administrative support for HR and immigration processes (e.g., monitoring visa statuses, coordinating with immigration counsel if needed).

• Provide high-level secretarial and administrative assistance to the CEO and a US-based Fundraiser.

• Oversee scheduling, calendar management, and essential travel arrangements when necessary.

• Support the fundraiser with administrative duties related to donor tracking or grant compliance documentation.

⛳️ Requirements

• Paralegal Training/Certification: A solid foundational understanding of US corporate law, contract review, or nonprofit compliance is essential.

• Nonprofit Experience: Previous experience working with or supporting a 501(c)(3) organization, particularly in governance and charitable registration, is highly preferred.

• Operational Savvy: Awareness of basic US payroll, HR practices, or experience with PEO platforms.

• Exceptional Organization: Capability to independently manage a varied workload over just two days each week.

• Tech-Savvy: Competence with remote work tools.

• Discretion: A high degree of integrity and discretion when handling sensitive organizational, financial, and personnel information.
