This is a fully remote position, open to applicants in Pakistan.
• Collect patient, insurance, and clinical details for prior authorization requests
• Process prior authorizations via payer portals, phone, fax, or other approved methods
• Monitor pending authorizations, liaise with insurance companies, and escalate any delays or denials
• Evaluate prescription refill requests, direct them to providers, and provide status updates to patients
• Arrange, modify, and confirm patient appointments
• Respond to and return calls regarding appointments, refills, referrals, and authorizations
• Reach out to patients for follow-ups, missing information, or appointment coordination
• Review voicemail, AI-generated messages, and telephone encounters in eClinicalWorks
• Address routine inquiries or direct them to the appropriate clinic team member
• Oversee open messages to ensure tasks are completed, documented, or escalated
• Assess returned, rejected, or pending claims
• Submit medical records, corrected information, or supporting documents
• Assist with straightforward claim resubmissions, basic appeals, and payer follow-up
• Accurately document communication between patients, providers, and insurance
• Keep notes on completed tasks, pending actions, and follow-up dates
• Escalate urgent, clinical, or complex issues to providers or the office manager
• Collaborate with the existing virtual assistant, providers, and onsite clinic personnel
• Provide updates on assigned, pending, and completed tasks
• Assist with additional administrative duties as clinic workflows develop
• Minimum of one year of experience as a Medical Virtual Assistant, Medical Administrative Assistant, Patient Coordinator, or a related healthcare support role
• Experience working with a U.S.-based medical practice
• Familiarity with processing or supporting prior authorizations
• Experience in coordinating prescription refill requests
• Background in scheduling patients and managing inbound and outbound calls
• Knowledge of electronic health records and telephone interactions
• Excellent written and verbal communication skills in English
• Capability to document information clearly and accurately
• Strong organizational and time-management abilities
• Proficiency in managing multiple queues, messages, and follow-up tasks
• Ability to identify when a concern requires escalation
• High degree of professionalism, confidentiality, and attention to detail
• Reliable internet connection and a secure home-based work setup
• Preferred: Experience with eClinicalWorks
• Preferred: Background in claims follow-up, medical record submissions, corrected claims, or basic appeals
• Preferred: Experience with AI-assisted phone or patient messaging systems
• Preferred: Understanding of HIPAA regulations and patient privacy standards
• Preferred: Experience supporting a growing or high-volume medical practice
• Preferred: Ability to work independently while maintaining regular communication with the team
