This is a fully remote position, open to applicants in Pakistan.
• Collect necessary patient, insurance, and clinical details for prior authorization requests.
• Process prior authorizations via payer portals, phone, fax, or other sanctioned methods.
• Monitor pending requests, liaise with insurance companies, and escalate any delays or denials.
• Assess and coordinate prescription refill requests, forwarding them to providers for approval.
• Schedule, reschedule, and confirm patient appointments.
• Handle calls related to appointments, refills, referrals, and authorizations, both incoming and outgoing.
• Reach out to patients for follow-ups, missing information, or appointment coordination.
• Review voicemails, AI-generated messages, and telephone interactions within eClinicalWorks.
• Address routine requests or direct them to the appropriate clinic team members.
• Oversee open messages to guarantee completion, documentation, or prompt escalation.
• Analyze returned, rejected, or pending claims.
• Submit medical records, corrected information, and necessary supporting documentation.
• Assist with simple claim resubmissions, basic appeals, and payer follow-up tasks.
• Meticulously document communications with patients, providers, and insurance entities.
• Keep detailed notes on completed tasks, pending actions, and follow-up dates.
• Elevate urgent, clinical, or complex issues to the provider or office manager.
• Collaborate with the current virtual assistant, providers, and onsite clinic staff.
• Provide updates on assigned, pending, and completed tasks.
• Assist with additional administrative duties as clinic workflows and operational needs change.
• Minimum of one year of experience as a Medical Virtual Assistant, Medical Administrative Assistant, Patient Coordinator, or a related healthcare support role.
• Experience working with a medical practice based in the U.S.
• Background in processing or supporting prior authorizations.
• Proficient in coordinating prescription refill requests.
• Experience in scheduling patients and managing both inbound and outbound calls.
• Familiarity with electronic health records and telephone interactions.
• Excellent written and verbal communication skills in English.
• Ability to document information clearly and accurately.
• Strong organizational and time-management capabilities.
• Competence in managing multiple queues, messages, and follow-up tasks.
• Ability to identify when a concern needs escalation.
• High level of professionalism, confidentiality, and attention to detail.
• Reliable internet connection and a secure home-based working environment.
• Preferred: experience with eClinicalWorks.
• Preferred: experience in claims follow-up, medical record submissions, corrected claims, or basic appeals.
• Preferred: experience working with AI-assisted phone or patient messaging systems.
• Preferred: knowledge of HIPAA regulations and patient privacy standards.
• Preferred: experience supporting a growing or high-volume medical practice.
