This is a fully remote position, open to applicants in Florida.
• Assess and address requests from patients, government entities, and third parties for the release of medical information.
• Manage medical record requests utilizing established departmental procedures.
• Process requests in accordance with state and federal privacy regulations, as well as organizational policies and guidelines.
• Provide guidance and support to requesters throughout the medical record request process.
• Identify various types of release requests and either complete them or direct them to the suitable department.
• Detect PHI requests that necessitate further examination or action and adhere to established protocols.
• Confirm authorizations and requests using established checklists and guidelines.
• Securely handle and release medical information via electronic systems, email, fax, or postal service.
• Evaluate requests for completeness and procure any missing information, documentation, authorizations, or signatures.
• Maintain thorough records and notes from the moment requests are received until their completion.
• Generate reports to track request volumes and response times.
• Extract information from internal databases to fulfill requests.
• Uphold patient confidentiality and safeguard sensitive medical and health information.
• Assist in the implementation and maintenance of medical records processes that comply with professional and legal standards.
• Monitor policy updates and the dates for annual policy reviews.
• Provide administrative support for policies, procedures, medical records, and policy tracking.
• Complete mandatory annual training and stay updated on relevant policies, procedures, and privacy laws.
• Report directly to the Senior Compliance Professional.
• Proficient computer skills and the ability to adapt to new systems.
• Expertise in Microsoft Word, Excel, and Adobe.
• Strong customer service abilities and a service-oriented mindset while working independently.
• Capability to prioritize multiple tasks and adhere to established turnaround times.
• Ability to thrive in a high-volume setting with frequent interruptions.
• Capacity to manage confidential and protected health information effectively.
• Self-sufficient internet service with a minimum download speed of 25 Mbps and upload speed of 10 Mbps.
• Dedicated workspace free from ongoing interruptions to safeguard member PHI/HIPAA information.
• Preferred: A minimum of one year of experience in a healthcare environment.
• Preferred: Familiarity with reading and interpreting clinical or hospital health records.
• Preferred: Previous experience in medical records or release-of-information roles.
• Preferred: Experience with electronic medical record (EMR/EHR) systems.
• Preferred: Knowledge of HIPAA and healthcare privacy regulations.
• Preferred: Experience with Adobe Acrobat Professional or similar software for merging, organizing, bookmarking, redacting, and password-protecting medical record files.
• Preferred: An associate's or bachelor's degree in healthcare administration, health information management, or a related discipline.
