This is a fully remote position, open to applicants in United States.
• Oversee and coordinate the onboarding and contracting processes for marketing vendors, collaborating with Legal, Finance, and Procurement teams.
• Monitor the status of contracts, renewals, statements of work (SOWs), and vendor documentation to ensure timely execution.
• Manage the routing and approval processes for Accounts Payable (AP) invoices.
• Assess marketing departmental processes and suggest improvements to enhance efficiency, scalability, and effectiveness.
• Develop, document, and implement best practices and processes within the marketing department to optimize campaign execution, resource management, and team productivity.
• Analyze marketing expenditures, identify potential budget risks and opportunities, and provide recommendations for resource allocation and investment priorities.
• Assist with the monthly and quarterly forecasting, reconciliation, and reporting of budgets and actuals.
• Administer the marketing project management platform (Wrike), including system configuration, user support, and process maintenance.
• Create and maintain project templates, campaign workflows, dashboards, timelines, and reporting structures within the project management platform.
• Track project statuses and ensure accountability for deadlines and deliverables.
• Manage the intake processes for campaigns and assist in the creation of campaign briefs to guarantee alignment and visibility across teams.
• Train and support team members on project management best practices and usage of the platform.
• Oversee and maintain the marketing SharePoint campaign and program calendar, ensuring visibility and alignment across marketing initiatives.
• Accurately document and update campaign timelines, launches, events, and key milestones.
• Provide basic graphic design support for presentations, digital assets, internal communications, social media graphics, and event materials.
• Manage the company-branded merchandise store and its fulfillment process.
• Ensure that all creative assets adhere to company brand standards and messaging guidelines.
• Coordinate the production and distribution of marketing collateral and promotional materials.
• Other tactical execution tasks as assigned.
• Bachelor’s degree in Marketing, Business, Communications, or a related field.
• 1-3 years of experience in marketing coordination, marketing operations, or project management support.
• Familiarity with marketing campaign workflows and operational processes.
• Experience in managing budgets, invoices, or financial reconciliation processes.
• Experience in supporting vendor contracts and procurement processes.
• Knowledge of project management platforms such as Wrike, Asana, Monday.com, or similar tools.
• Strong organizational skills with a keen attention to detail.
• Ability to manage multiple projects and deadlines concurrently.
• Proficient in Microsoft Office Suite, SharePoint, and collaboration tools.
• Basic graphic design experience using Canva, Adobe Creative Suite, or comparable design tools.
• Mid-level presentation experience in basic design and formatting for PowerPoint and presentation decks.
• Excellent communication and stakeholder management abilities.
• Process-oriented approach with an emphasis on efficiency.
