This is a fully remote position, open to applicants in Philippines.
• Oversee and maintain the Capsule CRM by ensuring precise and standardized contact and organization records, which includes deduplication, data enrichment, tagging, and routine database updates.
• Administer CRM workflows such as importing post-event data, constructing segmented lists, and creating and closing sponsorship opportunities to facilitate sales follow-up.
• Maintain organized sponsor and event data within Excel trackers (e.g., seating arrangements, VIP dinners, roundtables) and generate post-event sponsor networking summaries.
• Assist in updating Sales Prospectus materials, which encompass sponsor and delegate logos, advisory board information, and testimonials.
• Create and sustain WordPress event pages (including speaker, agenda, sponsorship, advisory board, and thank-you pages) to ensure accuracy, brand consistency, and mobile responsiveness.
• Develop and manage Wufoo forms for RSVPs, speaker applications, and sponsor inquiries, covering setup, testing, and data extraction.
• Handle invoicing and supplier billing in Xero, which includes delegate invoices, client setup, bill entry, payment tracking, and reconciliation assistance.
• Generate post-event reports, encompassing delegate demographics, revenue tracking, survey insights, and year-over-year performance analysis using Excel.
• Create forward-looking revenue trackers for sponsorships and ticket sales.
• Conduct delegate research and data enrichment utilizing CRM history, LinkedIn, and tools like Hunter or Apollo to verify and update contact information.
• Clean, segment, and tag delegate lists for targeted sales and marketing campaigns, including resolving bounced emails.
• Provide general administrative and data support, including Excel/CSV cleaning, CRM exports, shared drive organization, and report formatting.
• Employ AI tools to enhance data processing, reporting, communication drafting, and workflow automation, thereby improving efficiency and accuracy.
• Demonstrated experience in event operations, marketing coordination, or a data-intensive administrative position.
• Proficient Excel skills (e.g., pivot tables, lookups, data cleaning, reporting).
• Knowledge of CRM systems and digital platforms (Capsule CRM, WordPress, Wufoo, Xero preferred).
• Strong written communication skills for professional interactions and content creation.
• Proven, hands-on application of AI tools (e.g., ChatGPT, Claude) in a professional setting.
• High attention to detail and a strong commitment to data accuracy.
