This is a fully remote position, open to applicants in Philippines.
• Perform weekly reviews of the ClickUp pipeline every Monday for all active clients; identify tasks that are overdue or blocked and follow up with the respective team member or client.
• Provide a brief weekly status update to the founder (limited to five bullet points — avoiding unnecessary meetings).
• Assess AI-generated social media content scripts for quality, accuracy, and alignment with brand standards prior to client delivery.
• Oversee the entire content approval process — inform clients, pursue overdue approvals, brief the graphic designer through ClickUp, conduct visual quality assurance on finished assets, and schedule the approved content in GoHighLevel.
• Manage the monthly newsletter process for all newsletter clients and coordinate the building of email nurturing sequences with the GHL team using established SOPs.
• Provide monthly summaries of email performance to the founder.
• Facilitate the creation of landing pages in collaboration with the founder, GHL team, and ads workflow; send preview links to clients for their approval and execute pre-launch quality assurance checklists.
• Monitor lead flow weekly and promptly escalate any issues.
• Coordinate the creation of Meta ad assets between the graphic designer and the ads workflow; handle client approvals for copy and creative assets through ClickUp.
• Ensure that monthly ad performance reports are compiled and dispatched to clients without delay.
• Manage daily client communications across ClickUp and other platforms; escalate to the founder only when a strategic decision is needed.
• Set up new client workspaces in ClickUp using existing templates; gather brand assets, brief the GHL team on setup necessities, and establish client review timelines and calendar appointments.
• Collaborate with the in-house AI specialist to consistently identify opportunities to enhance workflows and minimize manual tasks across operations.
• At least 4 years of experience in operations, project management, or delivery lead roles within a digital marketing agency.
• Strong practical experience with ClickUp or a similar project management tool (e.g., Asana, Monday.com, Notion, etc.).
• Solid, demonstrable experience with GoHighLevel (GHL).
• Proficient in using AI tools such as Claude or ChatGPT for content evaluation, brief development, and operational research.
• Exceptional written English — consistently high standards are required in client-facing communications, internal coordination, and quality assessments.
• Proven track record in coordinating a remote team across various roles and time zones.
• Strong understanding of social media content strategies tailored for service-oriented or trade businesses.
• Highly organized, self-motivated, and solutions-oriented — capable of managing competing deadlines and priorities with minimal supervision.
• Experience supporting an Australian-based digital marketing agency or working with Australian clients (preferred).
• Familiarity with the construction, trade, or home services sectors (preferred).
• Practical experience with Meta advertising workflows and monthly performance reporting (preferred).
• Comfortable with reviewing and quality-checking AI-generated content at high volumes and speeds (preferred).
• Experience in writing, enhancing, or maintaining SOPs and internal documentation (preferred).
• Experience with GoHighLevel at the build level (automations, CRM logic, landing page setup) (preferred).
