This is a fully remote position, open to applicants in India.
• The Legal Assistant delivers comprehensive and efficient operational and administrative support for the Legal Department’s Governance, Risk, Compliance & Disputes (GRCD) practice, allowing the legal team to concentrate on complex issues and strategic initiatives.
• This position involves general administration and billing, in addition to assisting and supporting GRCD matters, which encompass governance, risk management, disputes, litigation, insurance, and intellectual property.
• An ideal candidate is a generalist with experience in a corporate legal environment, supporting a wide range of legal functions across various practice areas.
• They are organized, proactive, and independent, with the ability to manage multiple matters autonomously while collaborating with external counsel, internal stakeholders, and cross-functional teams globally.
• General Administration: Organize internal meetings, including recurring team gatherings and quarterly reviews.
• Oversee calendar management, deadline tracking, projects, and action items.
• Maintain and structure physical and electronic files; manage document retention according to established schedules.
• Assist in preparing internal presentations, communications, and status reports.
• Provide general administrative support to team leadership as necessary, including travel coordination, processing expenses, and managing logistics.
• Billing: Review, process, and monitor invoices from outside counsel and vendors; identify discrepancies and assist with accruals.
• Help with budget tracking and reporting on legal expenditures; maintain matter management and billing records.
• Intellectual Property (“IP”): Keep the IP portfolio tracker updated, covering patents, trademarks, and copyrights; oversee renewal and maintenance fee deadlines and alert team leadership about upcoming actions.
• Collaborate with outside IP counsel on filings, prosecution correspondence, and docketing; track the status of pending applications and registrations.
• Organize and maintain IP records, including registration certificates, assignment documents, and prosecution histories.
• Support IP-related due diligence in M&A transactions, licensing agreements, and other corporate matters.
• Governance: Assist with managing corporate entities, including maintaining entity records, managing registered agent correspondence, and annual filings.
• Aid in the execution and organization of board and committee materials, minutes, resolutions, and consents.
• Risk Management: Assist in insurance renewals and policy upkeep, coordinating with vendors and internal stakeholders for necessary documentation and information.
• Coordinate risk management workstreams across functions.
• Compliance & Regulatory: Manage the compliance calendar and assist in tracking regulatory deadlines and filings for applicable compliance programs.
• Maintain compliance documentation libraries on SharePoint.
• Support compliance workflows, including those related to data protection, third-party due diligence, and sanctions/export compliance screenings (e.g., coordinating information requests).
• Disputes & Litigation: Assist in matter intake, document organization, and file management for ongoing disputes and litigation.
• Support document collection, legal hold administration, and preparation of materials for external counsel.
• Coordinate matters (e.g., meetings, mediations); manage calendar and deadline tracking for court dates, filing deadlines, and statutes of limitations.
• Monitor bankruptcy dockets and coordinate responses to bankruptcy filings affecting the company.
• Prepare and file proofs of claim, objections, and related bankruptcy documents.
• Maintain creditor matrices and monitor distributions in bankruptcy proceedings.
• Associate's degree in paralegal studies, legal studies, or a related field, or equivalent professional experience.
• 2+ years of paralegal or legal operations experience within a law firm or corporate legal department.
• Experience in a corporate legal setting, supporting a broad legal function across diverse practice areas.
• Ability to work independently, manage multiple tasks, prioritize effectively, and manage time in a fast-paced environment.
• Strong organizational skills with a proven ability to handle multiple workstreams and competing deadlines.
• Excellent written and verbal communication skills, with a keen attention to detail.
• Experience in managing relationships with outside counsel and vendors.
• Proficiency in legal billing & matter management systems (e.g., SimpleLegal), eDiscovery platforms (e.g., Relativity, Everlaw), and Microsoft Office Suite.
• Ability to manage confidential information with discretion.
• Familiarity with export compliance, sanctions, data privacy, or regulatory compliance.
• Experience with workflow and project management tools such as Streamline, Jira, Confluence, or similar.
• Paralegal certificate from an ABA-accredited program.
• Experience with contract lifecycle management (CLM) systems.
• Knowledge of GRC platforms (One Trust, LogicGate, or similar).
• Experience in bankruptcy and creditor rights.
• Background in SaaS or technology environments.
