Intake Specialist – Outpatient Mental Health Counseling

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Reach out to new patient inquiries within one hour of receipt.

• Oversee the entire intake pipeline utilizing the ADMIRA CRM.

• Ensure that every lead is marked as complete or lost within a maximum of 7 days.

• Maintain accurate and up-to-date records in the CRM.

• Handle both inbound and outbound calls.

• Provide answers and assist new clients throughout the intake process.

• Schedule new client intakes and appointments using Simple Practice EMR.

• Arrange appointments based on therapists’ availability and appointment schedules.

• Confirm insurance for new clients, primarily focusing on in-network plans.

• Supply self-pay clients with transparent cost and payment details.

• Utilize Availity as a manual backup for insurance verification when necessary.

⛳️ Requirements

• Previous experience in a medical or mental health intake, front desk, or patient coordination position.

• Proficient in lead response and CRM pipeline management.

• Comfortable working towards response-time and pipeline-aging objectives.

• Experience with insurance verification, including manual verification through payer platforms.

• Exceptional phone presence; able to communicate warmly, clearly, and reassuringly with individuals during challenging times.

• Strong organizational abilities.

• Capable of managing live calls, scheduling, and CRM updates without allowing leads to become stale.

• Familiarity with Simple Practice EHR is preferred.

• Experience with ADMIRA or a comparable CRM platform is preferred.

• Knowledge of Availity or other payer verification portals is preferred.

• A background specifically in outpatient mental health or counseling intake is preferred.
