This is a fully remote position, open to applicants in Colorado, +1 more state.
• Proactively monitor and respond to inquiries via email, chat, and web forms, providing potential clients with detailed information about the firm’s services and setting clear expectations for the intake process.
• Conduct conflict checks to ensure adherence to firm policies.
• Receive incoming calls with professionalism and empathy, transferring calls to the relevant team members, and managing voicemails and follow-ups as required.
• Oversee and update client records in the CRM, ensuring accuracy and promptness in data entry.
• Distribute, gather, and process fee agreements and credit card authorizations, meticulously entering details into the system to facilitate retainer fee transactions.
• Arrange meetings and initial consultations for attorneys, coordinating effectively with both clients and firm calendars.
• Follow up with potential clients via phone, email, or chat to resolve inquiries, encourage engagement, and guide them through subsequent steps.
• Track and log follow-up activities to maintain comprehensive records in the CRM.
• Identify high-priority leads and escalate them to attorneys or senior intake team members as needed.
• Actively engage in weekly intake meetings and contribute to ongoing improvement initiatives within the intake department.
• Collaborate with various departments, including marketing, IT, and sales, to ensure seamless client experiences.
• Two to Five (2-5) years of experience in sales, customer service, or a related field, with a demonstrated track record of client engagement and follow-ups.
• Prior experience in legal intake or a client service role is advantageous.

• Proficiency in Apple products and CRM systems, with a typing speed of 50 WPM or higher and exceptional attention to detail.
• Ability to communicate calmly and effectively with clients in high-pressure situations, showcasing empathy and professionalism.
• Strong organizational skills with the capacity to prioritize multiple competing tasks in a fast-paced environment.
