This is a fully remote position, open to applicants in Virginia.
• Provides administrative, analytical, and technical assistance throughout the entire federal grants lifecycle in support of the Institute of Museum and Library Services (IMLS).
• Conduct reviews to ensure the administrative completeness of grant applications and their supporting documentation.
• Examine grant application materials, including budgets, attachments, strategic plans, narratives, and supporting forms, for thoroughness and adherence to administrative compliance.
• Input, confirm, update, and maintain grant application and award data within eGMS and associated tracking systems.
• Draft eligibility analyses, budget evaluations, and administrative findings for Government review and approval.
• Assist with peer review activities by facilitating panel setup, coordinating reviewers, troubleshooting issues, and preparing panel materials.
• Develop spreadsheets, datasets, reports, dashboards, and visualizations that aid in grant program management and funding decision processes.
• Review interim and final performance reports, documenting administrative findings, compliance issues, and monitoring observations.
• Monitor grantee reporting requirements, overdue submissions, and administrative actions.
• Draft correspondence, outreach communications, monitoring templates, and status reports for Government review.
• Process administrative grant change requests, personnel updates, and maintain grant files.
• Support grants monitoring and closeout activities while keeping detailed tracking logs and maintaining audit-ready documentation.
• Identify data inconsistencies, anomalies, and missing information, and suggest corrective actions.
• Assist in preparing Section 508-compliant documents and materials for public posting.
• Uphold confidentiality and properly secure sensitive but unclassified grant information and personally identifiable information (PII).
• Participate in mandatory security, confidentiality, privacy, and grants management training.
• Provide weekly status updates and assist with monthly workload and Service Level Agreement (SLA) reporting requirements.
• At least two (2) years of experience supporting federal grants management operations in accordance with 2 CFR 200.
• Experience in pre-award, post-award, monitoring, compliance, or grants administration activities for a federal agency or federally funded grant program.
• Familiarity with electronic grants management systems such as eGMS or similar grant lifecycle management platforms.
• Proficient in Microsoft Office 365 applications, including Excel, Teams, Outlook, OneDrive, and Word.
• Experience utilizing Adobe Acrobat Pro and managing complex PDF documentation.
• Strong analytical, organizational, and data management abilities with a keen attention to detail.
• Capability to independently prioritize workload, meet deadlines, and function effectively in a remote work setting.
• Excellent written and verbal communication skills.
• Ability to manage sensitive information in line with federal privacy and confidentiality regulations.
