This is a fully remote position, open to applicants in North Carolina.
• Conduct pre-award and post-award activities for designated units.
• Support faculty and principal investigators in developing, preparing, and submitting grant and contract proposals.
• Ensure that applications comply with agency and university guidelines, as well as adhere to timelines and deadlines.
• Create budgets and budget justifications; review budgets for accuracy and inconsistencies.
• Prepare, coordinate, and assess proposal components, including biosketches and facilities and resources.
• Oversee compliance with agency and University regulations, verifying financial details and overhead rates.
• Review sponsored projects through SPS, ORA, and ORS for compliance and necessary institutional signatures.
• Manage a portfolio of complex grants and contracts assigned to you.
• Provide guidance to principal investigators regarding budget adjustments, revisions, requirements, and deadlines.
• Create project management plans for evaluation by the PI or senior grants administrator.
• Oversee budget, reporting, compliance, and sub-recipient timelines throughout the lifecycle of the grant or contract.
• Reconcile monthly budget reports; identify and submit cost transfers and corrections.
• Prepare requests for re-budgeting or modifying the budgets of funded projects.
• Reconcile and finalize sub-recipient budgets, obtaining reports required by sponsors.
• Maintain financial records in accordance with institutional retention guidelines.
• Monitor patient-care expense charging, overdrafts, revenue recording, and effort allocation.
• Conclude funded projects in line with University procedures and timelines.
• Submit reports to the Divisional Administrator or Business Manager upon request.
• May oversee grants and contracts assistants and support staff.
• A Bachelor's degree is generally required.
• No experience is needed for candidates with a directly relevant Bachelor's or Master's degree; otherwise, 3 years of relevant experience are required for the specified tier.
• Completion of Research Administration Academy (RAA) onboarding training and registration in a learning track within the first 90 days is mandatory.
• AGM must be completed within 12 months where applicable; RAA and AGM are mandatory for senior and lead tiers.
• Maintain required certifications and fulfill continuing education obligations.
• Knowledge of federal regulations pertaining to research grants and contracts is essential.
• Familiarity with Duke University's grant and contract policies, procedures, processes, systems, and offices is necessary.
• Ability to apply federal and University regulations to effort allocation and costing for federally funded projects.
• Experience with or capability to perform essential functions in SPS, R3, grants.duke, and SES.
• Understanding of financial processes and controls, including reconciliation.
• Proficient in computer skills with a strong working knowledge of Microsoft Office Suite: Word, Access, Excel, and PowerPoint.
• Capability to analyze data and draw conclusions.
• Strong verbal and written communication skills across all organizational levels.
• Ability to manage and prioritize multiple projects and tasks concurrently.
