This is a fully remote position, open to applicants in California.
• Assist in the preparation, review, and management of contracts, amendments, customer agreements, and bid/proposal documentation.
• Maintain contract records, documentation, and contract lifecycle data within company systems.
• Aid the Bid Management team in collecting, organizing, and monitoring customer requirements, contractual deliverables, and proposal artifacts.
• Work collaboratively with Supply Chain, Legal, Sales, Procurement, Operations, and other cross-functional stakeholders to ensure contract execution and compliance.
• Analyze requests and data, identify trends, and provide insights and recommendations to management.
• Review contract terms and conditions to ensure compliance with company policies and relevant federal, state, and local regulations.
• Monitor contract milestones, renewals, amendments, reporting requirements, and other contractual obligations.
• Assist with contract compliance reviews.
• Communicate contract-related information and requirements to internal stakeholders.
• Oversee deadlines and ensure timely completion of assigned tasks and deliverables.
• Proofread, edit, and verify contract and proposal documentation.
• Prepare and maintain reports, metrics, and performance data related to contracts, bids, and customer requirements.
• Prepare and ensure proper execution of administrative documentation, reports, and supporting records.
• Support contract artifact management, document retention, and audit preparedness activities.
• Minimum of 2 years of experience in contract administration, bid/proposal support, procurement, supply chain, or a related business function.
• Proven experience supporting contract lifecycle management, document control, or compliance-related processes.
• Familiarity with contract terminology and best practices in contract administration.
• Experience with CRM, contract management, ERP, or document management systems.
• Ability to follow instructions and exhibit exceptional attention to detail.
• Strong analytical, organizational, and problem-solving abilities.
• Capacity to identify, analyze, and recommend solutions to business and customer-related challenges.
• Effective verbal and written communication skills with a strong command of the English language.
• Ability to work independently and collaboratively in both virtual and office settings.
• Strong multitasking and time management capabilities, with the ability to handle multiple priorities and meet deadlines.
• Proven commitment to compliance with company policies, customer requirements, and applicable regulations.
• Proficiency in Microsoft Office applications, including Excel, Word, and PowerPoint.
