This is a fully remote position, open to applicants in Philippines.
• Act as a reliable Executive Assistant and operational collaborator, providing support to leadership in finance, business operations, and strategic initiatives.
• Oversee intricate executive calendars, investor meetings, confidential communications, and cross-functional coordination in a dynamic remote setting.
• Assist with finance-related operations such as expense tracking, reporting coordination, budgeting assistance, invoice oversight, and operational documentation.
• Engage with stakeholders in AI, fintech, Web3, and cryptocurrency while ensuring organized communication workflows across platforms like Slack, Telegram, and other digital collaboration tools.
• Contribute to operational planning, process enhancement, and executive decision-making support through research, reporting, and workflow management.
• Leverage AI-driven tools such as Claude AI, Cursor, and ChatGPT to optimize administrative functions, automate repetitive tasks, and boost productivity.
• Create structured prompts, operational templates, and AI-assisted systems to enhance business efficiency and executive execution.
• Ensure high accuracy in documentation, financial records, meeting summaries, and internal operational tracking systems.
• Perform market and industry research focused on AI technologies, prediction markets, trading environments, and emerging digital ecosystems.
• Assist leadership in executing strategic initiatives, prioritizing tasks, and managing day-to-day business operations while demonstrating a high level of discretion and accountability.
• Recognize opportunities to enhance operational efficiency through automation, AI integration, and workflow improvement initiatives.
• Quickly adapt within evolving startup environments while effectively managing multiple priorities and executive requirements.
• Demonstrated experience supporting executives, founders, or leadership teams in roles such as Executive Assistant, Chief of Staff, Executive Operations, or finance support.
• Strong background in executive coordination, operational support, and finance-related administration within fast-paced remote settings.
• Experience in bookkeeping, accounting support, financial administration, or related finance operations, including expense tracking, invoice management, reconciliations, budgeting support, and financial reporting coordination.
• Familiarity with accounting systems, financial documentation, operational reporting, and finance workflow management.
• Proficiency in AI-powered productivity tools such as Claude AI, ChatGPT, Cursor, and workflow automation platforms.
• Strong understanding of AI-assisted workflows, operational automation, and process optimization strategies.
• Experience in developing structured prompts, AI templates, and documentation to enhance operational efficiency and executive productivity.
• Familiarity with fintech, AI, Web3, cryptocurrency, trading platforms, or emerging technology ecosystems is highly preferred.
• Capable of coordinating with global stakeholders, investors, vendors, and cross-functional teams across various communication channels.
• Exceptional organizational skills with the ability to manage calendars, meetings, reporting trackers, confidential information, and competing priorities concurrently.
• Strong written and verbal communication abilities with a keen attention to detail and follow-through.
• Experience with Slack, Telegram, Google Workspace, Notion, QuickBooks, Xero, or other modern collaboration and accounting platforms is preferred.
• Ability to work independently with minimal supervision while maintaining professionalism, discretion, and accountability.
• Strong analytical, operational, and problem-solving skills with the capability to proactively identify workflow enhancements and automation opportunities.
• Comfortable in a startup environment that demands adaptability, urgency, and flexibility across various international time zones and evolving business schedules.
• You will be engaged as a contractor under The People Group company name, meaning you are not a direct employee but work as a contractor for our business.
• This structure offers the advantage that all client contracts are signed directly with The People Group rather than with you as the contractor, ensuring your protection as a remote contractor while The People Group manages the client service aspect of the function.
